Summary

MSOE invites applications for a full-time Human Resources Coordinator to join our Human Resources team. The Human Resources Coordinator, reporting directly to the Director of Human Resources, assists and provides support to the Human Resources Department in a variety of activities related employee onboarding and training, and coordination of Human Resources organized events. Also provides support related to all Human Resource practices, policies, procedures, and programs.

Essential Job Functions

  • Coordinate monthly onboarding
  • Coordinate and administer employee training for new hires as well as ongoing training for current employees, both in-person and on-line, including supervisor training, and other required training
  • Maintain and update department website including employee directory information and providing a Website presence for HR related topics
  • Coordinate the annual appreciation dinner, holiday reception, United Way campaign, MLK day of service and other special events
  • Coordinate and process annual performance appraisals and training period reviews
  • Schedule and conduct adjunct and part-time athletic coach orientations and set up in ERP
  • Schedule full-time faculty orientations and set up in ERP
  • Oversee processes for HR set up of new and returning faculty, including HR processing of returning faculty contracts and faculty promotions.
  • Maintain job descriptions for all positions including annual review to reflect for best practice language
  • Administer relocation program, communicating with new hires and relocation vendors
  • Complete monthly recruiting reporting including Jolts and New Hire reporting
  • Data analytics (staffing metrics) and annual reporting (larger reports like CUPA, IPEDS, AAUP, 990, etc.)
  • Process staff promotion and title change paperwork including entering in payroll and HR internal records
  • Prep exit discussion forms, schedule exit meetings, and send electronic exit surveys.
  • Create and maintain department organizational charts
  • Manage timely processing of vendor payments and reconciliation of monthly credit card statements
  • Perform student employment double checks
  • Perform annual I-9 audit.


Other Duties and Responsibilities

  • Assist with student employment program
  • Assist in the maintenance of my.msoe.edu to ensure its usefulness to employees
  • Complete annual paid time off accrual reporting for finance office
  • Assist with work and initiatives in the HR Department Strategic Plan
  • Review HR policies and employee handbook for possible changes
  • Assist in working with candidates to arrange for interviews including coordinating of travel and hotel stays
  • Assist with conducting new employee orientations
  • Assist with entering new hire W-4, W-T4, direct deposit etc. into ERP system

Qualifications

  • Bachelor's Degree required, with an emphasis in Human Resources preferred
  • 3+ years of HR experience preferred
  • Completion of PHR or SHRM certification preferred

  • Ability to keep complex records, to assemble and organize data
  • Ability to maintain effective working relationships and function as a team player
  • Excellent organizational skills and strong attention to detail
  • Strong customer service skills and focus with the ability to see issues through to resolution
  • PC proficient with MS Office products including MS Excel for reporting and analysis
  • Ability to deal sensitively with confidential data and use sound judgment is a must
  • Must be highly motivated and self-directed
  • Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals.
  • Ability to write routine reports and correspondence. Ability to speak effectively before others
  • Ability to effectively communicate in both written and oral form
  • Ability to use numbers to solve problems involving concrete variables in standardized situations
  • Ability to carry out written and oral instructions
  • Ability to problem solve and utilize critical thinking


Physical Demands

While performing the duties of this job the employee is largely sedentary, the ability to move is required. The employee is occasionally required to traverse within their work area as well as other areas on campus.

Work Environment

This job operates in a professional office environment. This role uses standard office equipment, including but not limited to computers, phones, photocopiers, and filing cabinets.
