The Opportunity: We are seeking a full time Facilities Services Supervisor to join our team. This role will coordinate and supervise team members, work activities and vendors related to the Facilities & Services administrative support, Mail Center, Supply Services and Courier Services. Maintain corporate key control and document shredding service, as well as department procedures, databases and vendor contract repository. Participate in the coordination of Work Request processing for Headquarters and branch network. Responsible for building services and capital projects related to Headquarters, Fairlane & Oakwood Beech branches.



What You'll Do:



  • Manage the Facilities services functions, including proactively reviewing operations and recommending changes to reduce costs and enhance services.
  • Supervise the performance and professional development of (3) direct reports.
  • Manage the building and occupant services for the DFCU Financial Headquarters, Fairlane Branch, and Oakwood Beech Branch, as well as capital projects and the supervision of all associated service providers.
  • Manage administrative matters: invoice processing; business license renewals; fire alarm license renewals; fleet vehicle renewals and insurance matters; credit card approvals; timecard approvals, etc.
  • Manage organization's Supply Services program: manage employee interfaces; monitor pricing and availability of items, oversee preprinted forms inventory; DFCU furniture, equipment and materials inventory; coordinate special order purchases.
  • Manage the Mail Center: ensure proper processing of incoming and outgoing United States Postal Service (USPS) mail and expedited service items; remain current with USPS rates, regulations and business changes; resolve USPS and expedited service-related issues.
  • Manage the organization's Courier Services program: manage the relationship with FedEx, ensure uninterrupted service of internal routes and adjust schedules to accommodate special circumstances; coordinate special pick-ups and deliveries.
  • Manage the corporate Key Control program.
  • Manage the tasks necessary to launch new branch locations and integrate merged branch locations.
  • Maintain department vendor contract repository to include third party risk reviews, obtaining current W-9's and certificates of insurance and monitoring of agreements for review and/or upcoming expiration.
  • Maintain departmental policy and procedure documentation, various user interfaces and Portal page.
  • Participate in the effective coordination of the Work Request process.
  • Coordinate the purchase and installation of furniture at all locations.
  • Manage the organization's document shredding program.
  • Manage the maintenance and appearance of company inventory storage facilities.
  • Maintain service contracts on equipment, systems and services.
  • Act as back-up to Support Services Supervisor and Maintenance Supervisor, as necessary.
  • Supervise performance of vendors.


What You'll Need:



  • Bachelor's degree in job related field or equivalent experience.
  • Two - four years direct facilities, logistics or program management experience preferred
  • Two years' supervisory experience preferred.
  • Ability to move 70 lbs.
  • Demonstrated critical thinking and independent decision making.
  • Computer proficient.
  • Ability to plan, organize and maintain workflow.
  • Project management experience preferred.
  • Demonstrated interpersonal skills, including effective verbal and written communication.
  • Consistent positive, cooperative, self-motivated, courteous and professional attitude.
  • Evening, weekend, holiday and overtime hours, as required.
  • 24x7 on call availability for emergency and alarm calls.
  • Use of personal vehicle for business related activities.
