Position Title: Project Coordinator II (Non-IT)

Location:
Mettawa, IL, 60045

Assignment Duration: 2 years (Possible Extension)

Work Schedule: Monday - Friday, 9:00 AM - 5:00 PM

Work Arrangement: Hybrid (3 days in office / 2 days remote)

Position Summary:

We are seeking a detail-oriented and proactive Project Coordinator II to support the Data Operations team. The role involves coordinating financial processes, managing third-party agreements, tracking budgets, onboarding data, and coordinating vendor training schedules.

Key Responsibilities:

  • Invoice Processing:

    • Review invoices for accuracy and compliance
    • Balance invoices against Purchase Order (PO) amounts
    • Track invoices through the payment cycle
    • Manage the filing system for approved invoices

      (Annual Budget: ~$25 million)


  • Purchase Order Management:

    • Complete and submit Purchase Order requests
    • Maintain PO and Statement of Work (SOW) filing system


  • Budget Tracking:

    • Assist in tracking the data operations budget


  • Third-Party and Related Agreements Management:

    • Assist users in submitting TPA requests
    • Perform quality control of user requests before vendor submission
    • Communicate with vendors regarding status and issue resolution
    • Track agreement status and renew annual agreements
    • Resolve issues between AbbVie, Contractors, and Vendors
    • Escalate issues to AbbVie SMEs when needed
    • Conduct user training related to TPA processes


  • Data Onboarding:

    • Manage contract documentation
    • Track onboarding status and time to completion
    • Resolve issues between AbbVie and SPP


  • Vendor Training Coordination:

    • Coordinate training schedules with vendors (e.g., IQVIA, Symphony)
    • Schedule and track attendance





Qualifications:

  • College degree preferred
  • Excellent verbal and written communication skills
  • Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook)
  • Highly detail-oriented
  • Ability to multi-task and effectively prioritize work
  • Persistent and proactive in resolving issues
  • Quick learner of various systems
