Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Coordinator I for the Graduate School of Education - Office of Administration and Personnel. Reporting to the Senior Program Coordinator Supervisor at the Graduate School of Education ( GSE) and associated with the GSE Administrative Services Center ( ASC), this position is responsible for providing administrative support and assisting in the daily operations and activities for GSE departments and units including, but not limited to, providing scheduling and academic support; coordinating workshops; and arranging and coordinating the design and logistics for meetings, seminars, and special events.
Among the key duties of this position are the following:

  • Provides assistance to faculty and staff, which includes processing expense reports and purchase orders and giving sound administrative guidance.
  • Assists GSE senior leadership with administrative and academic tasks including the preparation of correspondence, scheduling appointments, taking minutes, and confidential issues.
  • Prioritizes work, resolves routine conflicts and issues, and prepares and implements administrative guidelines and procedures for units.
  • Works with GSE Human Resources in the initial preparation and processing of personnel, payroll, and visa paperwork.
  • Creates informational materials.
  • Prepares, processes, and controls records, statistics, reports and documents; and/or performs some fiscal support functions.
  • Occasionally, assists faculty and staff administratively with research grant proposals. Completes other work consistent with a broad understanding of the mission, vision, role, and goals of the GSE.
  • Serves as liaison within and outside unit. Works under general supervision, within established work parameters, with few direct instructions.
  • Carries out routine and non-routine tasks with occasional review of work outputs by supervisor.
  • Performs professional work that requires knowledge of general administrative/office management principles and practices and a good understanding, use, and application of concepts, theories, principles, practices, terminology, and applied bases of unit administration.

Qualifications






Minimum Education and Experience

  • A bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping and/or report writing.
  • A minimum of two years relevant experience in an administrative function, good communication skills, and computer literacy, specifically with the use of Microsoft Office Suite and Adobe Acrobat.

  • Demonstrated ability to maintain a professional and welcoming demeanor to all colleagues, students, visitors and guests.

Preferred Qualifications

  • Past experience as an Administrative Assistant providing support to an academic unit is preferred.
  • Understanding and application of university policies including but not limited to Procurement, Travel and Expense Reimbursement, and Course Scheduling.
  • Working knowledge of Concur, SciQuest (Marketplace), Course Atlas, Course Scheduling System, Canvas, ROCS, Sunapsis (Visa), and ability to create custom reports and complex databases utilizing Excel is preferred.

Equipment Utilized
  • This position requires excellent computer skills including but not limited to the Microsoft Office Suite (Excel, Word, Teams, Access, etc.), Adobe, Zoom, and in-depth understanding of university systems such as Marketplace (Procurement), Concur (Expense Management), Course Atlas, Course Scheduling System, Canvas, and RAPSS.
Physical Demands and Work Environment

  • Successful candidates will need to be able to function in an environment where interruptions can be common.
  • Some minor lifting (<25 pounds) may be occasionally required.
