Serving as a key partner to the Associate CIO, the Assistant Director plays a central role in translating strategic priorities into operational execution and may represent the Associate CIO in meetings, committees, and cross-campus initiatives. A critical responsibility of this role is to manage and nurture key institutional relationships tied to Memoranda of Understanding (MoUs) and other partnership agreements.

Duties & Responsibilities:

Project & Portfolio Management
  • Lead the definition, planning, and execution of small to medium-scale technology projects, ensuring delivery within scope, timeline, and budget.
  • Coordinate across assistant directors, team leads, and vendors to drive project outcomes without direct supervisory authority.
  • Maintain project documentation (charters, schedules, status reports, risk logs) and ensure adherence to organizational project management standards. Identify risks, dependencies, and operational gaps, and develop mitigation plans.

Operational Coordination
  • Serve as a point of integration for projects and operations, ensuring handoffs, dependencies, and workflows across Technology Solutions are aligned.
  • Monitor budgetary, financial, and resource elements of projects and operational activities; flag risks and propose adjustments.
  • Support process improvement initiatives to enhance service reliability, operational efficiency, and customer satisfaction.

Stakeholder Engagement & Influence
  • Facilitate effective collaboration with internal stakeholders, including business partners, technology teams, and vendors.
  • Represent the Associate CIO in project meetings, operational reviews, and cross-campus working groups as appropriate.
  • Provide clear communication to leadership and stakeholders on project and operational status, risks, and outcomes.

Leadership Development Role
  • Act as a thought partner to the Associate CIO, providing input on strategic priorities and helping translate them into executable plans.
  • Model best practices in project and portfolio management, providing informal mentoring to staff and peers.
  • Contribute to organizational governance, standards, and reporting that ensure smooth operations across Research Technologies and Innovation.
  • Perform other related duties and participate in special projects as assigned.

  • Familiarity with the unique challenges of research computing, data management, or secure environments in higher education or healthcare.
  • Knowledge of project portfolio management tools and practices.
  • Ability to work effectively with leadership and represent senior management in multi-stakeholder settings.
  • Strong skills in project planning, scheduling, and reporting tools (MS Project, Smartsheet, or equivalent).
