Accupuncture Assistant

The Accupuncture Assistant assists in communicating with and caring for patients under direction of the Acupuncturist. The scope of responsibility of this position includes acting as a resource for Acupuncture patient sources as well as performing patient intake, order entry, insurance authorization and medical documentation processes. Regulatory compliance to optimize the organization's revenue cycle is vital to the organization's success. Customer satisfaction is critical and this position requires eye to detail, organization, and a focus on the big picture for Acupuncture. The incumbent will follow appropriate policies and procedures and maintain a thorough knowledge of the various aspects of the Acupuncture industry. This position follows the mission and vision of Mercyhealth. This partner will be cross trained to be able to function as a customer service rep and/or receptionist.


Responsibilities

Essential Duties and Responsibilities

  • Assist Acupuncturist with patient care as directed.
  • Prepare provider charts. Take messages from patients and forward to acupuncturist. Assist acupuncturist in communicating with patients and obtaining appropriate releases. Rooms patients, collects assessment data and prepares patient to specific needs.
  • Schedules return appointments. Screens and schedules new patient appointments as directed. Assists provider complete paperwork for patient for outside sources such as work excuses, letters, etc. Helps maintain organized patient chart.
  • Assist with administrative duties such as projects and committees as assigned.
  • Manages phone calls from patients and referral sources.
  • Orders necessary supplies and keeps rooms stocked.
  • Maintains availability of supplies needed by providers including testing materials and necessary forms.
  • Maintains a clean work environment in personal space as well as office areas.
  • Performs insurance verification on each order to assess coverage, documentation and prior authorization needs.
  • Responsible for intake of referral orders from phone calls, Epic and faxes, using departmental procedures.
  • Problem solves a wide range of customer issues and complaints, appropriately referring issues outside their scope of practice.
  • Obtains and reviews clinic notes, progress notes, orders, demographics, face-to-face and medical justification documentation from referrals to meet documentation expectations for Acupuncture per Federal, State and payer requirements.
  • Acts as liaison between Acupuncture and key internal and external customers/ referral sources.

Requirements:

  • High school diploma or general education degree (GED); or 1 years related experience and/or training; or equivalent combination of education and experience.
  • Experience in hands on, patient centered care preferred.
  • Medical assistant certification and experience in an acupuncture setting preferred.
