Job Description

IEM is looking for a Full Time - Senior Administrative Assistant that is comfortable with using computers in an office environment for a general administrative role assisting the IEM team.


Primary Location:



  • Live within a commutable distance to Port Richey, FL.
  • Work in an Office Environment with a team.


Travel Requirements:



  • This position may require travel to complete work assignments or attend meetings.


Essential Functions:



  • Performs various administrative/clerical duties in support of office operations including composing, typing, copying and filing correspondence, memo, letters and other documents, preparing mailings/transmittals and sorting and distributing incoming mail.
  • Establishes and maintains Program files.
  • Schedules and arranges meetings and conferences to include notifying interested parties, preparing agenda, taking minutes, arranging travel for staff, scheduling transportation and making hotel reservations.
  • Maintains calendar for CDBG-DR Program Manager to ensure no scheduling conflicts and to inform them of deadlines.
  • Gathers data and prepares reports, according to instructions from immediate supervisor and completes other technical assignments as assigned.
  • Determines need for and requisitions supplies, equipment and repair and maintenance services through agency channels.
  • Attends meetings and takes minutes/notes upon request.
  • Pull documentations needed for contract requirements Data entry for invoicing assist with reviewing of reports.


Minimum Qualifications:



  • Experience: Three (3) years' experience in office management/administration. Equivalent combination of education and experience may be substituted.
  • Degree: Associate's degree in business or related field.
  • Solid knowledge of Microsoft Office Suite - including a strong knowledge of Microsoft Word, Excel, and PowerPoint.
  • Strong transcription capabilities.
  • Experienced, energetic, highly motivated, self-motivated, dependable person.
  • Must be comfortable in fast paced environment.
  • Written and verbal communication skills.
  • The ideal candidate is extremely comfortable with administrative computer usage.
  • Knowledge of corporate level office practices and must also be comfortable with the corporate and customer environment.
  • Self-starter who is confident in their abilities and willing to take the initiative.
  • Strong organizational skills, ability to work independently, attention to detail, and ability to multi-task are a must.


Preferred Qualifications:



  • Bachelor's degree.
  • Experience working with public agencies and/or knowledge of federally funded grant programs such as CDBG/CDBG-DR and FEMA HMGP.
  • Knowledge of various database and program management tools such as Smart Sheet, Power BI, SharePoint, and other Microsoft Office Suite products.

  • Office Locations: Often, these offices are either owned by the client we work with or by IEM. All candidates are expected to follow any rules and regulations of the office in which they are required to work for that project.
