Major/Essential Functions


  • Prepare/submit/track daily and annual purchase orders (POs) for assigned area(s). Complete electronic receipts in TechBuy for invoice and payment processing.
  • Maintains and monitors inventory for assigned area(s), including keeping office and break room supplies stocked and organized. Handle supply requests from staff.
  • Assist with asset management for assigned area(s). Assist with IT Division asset management as needed.
  • Answer telephones for assigned areas in a professional manner and provide excellent customer service. Organize and facilitate meetings and conference calls as needed. Process outgoing mail. Sort and deliver incoming mail.
  • Calculate, coordinate, and make travel arrangements. Prepare travel pre-approvals/expense reports for travelers in assigned area(s). Process and review travel-related forms as needed, i.e. Travel Exception Form.
  • Provide support to assigned areas, including assist with conference registrations, meeting preparation, conference room reservations and preparations, and campus parking requests.
  • Coordinate with Sr. Director for FOP tracking for the IT Division FOPs and other finance tasks as needed.
  • Provide support to Associate Vice President including scheduling meetings, travel arrangements, coordinating of calendar, and other duties as assigned.
  • Coordinate with Executive Associate (EA) for Information Technology to provide support to EA and/or CIO as needed including providing necessary coverage when EA is out of the office, answering phones as needed, and assisting with IT Administration Events.
  • Performs other duties assigned by IT Division Leadership.

Knowledge, Skills, and Abilities


  • Ability to organize work effectively.
  • Ability to develop and maintain good relationships with coworkers, vendors, and other campus areas.
  • Ability to apply resources, policies, and information for daily business operations, solutions and other outcomes.
  • Proficiency with Mircosoft O365 applications including Outlook, Word, Excel, TEAMS, and PowerPoint.
  • Working knowledge of administrative and clerical procedures and systems such as document processing, spreadsheets, managing files and records,designing forms, and other office procedures and terminology.
  • Understanding of TTU's accounting system, HR system, travel system, and other essential systems and operating procedures along with the customer service philosophy.

Required Qualifications

Bachelor's degree plus two (2) years related experience; OR a combination of education and/or progressively responsible related experience to equal six (6) years.

  • Detail and service oriented.
  • Excellent Customer Service skills.
