Job Summary

Involves managing or performing the administrative services or managing the full general operations of an academic or non-academic organization(s). Administrative services include activities in finance and human resources and may also include IT, facilities, or student services. General management activities include long and short range strategic planning in determining the mission and directing all activities of multi-disciplinary departments through subordinate management staff. Supports and coordinates the operational, administrative, and strategic functions of the Environment, Health & Safety (EH&S), Security, Safety, PBX Communications, Emergency Management, and Diagnostic Imaging Services departments. Responsibilities include assisting with program planning, financial tracking, human resources support, data management, contract administration, and departmental operations. Plays a key role in facilitating cross-functional collaboration, compliance monitoring, and process improvement efforts across these critical support and clinical service areas. Contributes to both short- and long-term planning, and may provide oversight to administrative or operational staff supporting these programs.

Uses skills as a seasoned and experienced administrative operations professional to manage, plan and administer the operations of a small to mid-sized academic or non-academic department or organizational unit with limited scope. May report to a chair, director, or a higher level administrative operations professional or manager. Perform short- and long-term planning for the organization. May supervise staff or students. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $86,500 - $129,700 (Annual Rate).

Required Qualifications


  • Provides administrative, analytical, and project management support for the EH&S department supporting pediatric services. Coordinates documentation, reporting, audits, and tracking for safety inspections, training records, and compliance activities. Assists in developing reports and communications for regulatory readiness and program performance metrics.
  • Assists in coordination and monitoring of the Workplace Violence Prevention Program. Tracks incident reports, assists with data entry and analysis, schedules committee meetings, prepares agendas and minutes, and supports policy and procedure updates in compliance with Cal/OSHA 3342.
  • Supports the Emergency Management program through coordination of drills, trainings, and documentation of After-Action Reports. Maintains contact lists, Everbridge data, and departmental emergency binders. Assists with administrative tasks related to hospital EOP, HICS documentation, and exercise logistics.
  • Drafts internal communications, newsletters, safety bulletins, and updates for EH&S and Emergency Management initiatives. Assists with website updates, design of educational materials, and stakeholder correspondence
  • Coordinates administrative and tracking support for fire/life safety inspections, physical environment rounds, and corrective action follow-up. Assists with maintaining documentation for compliance with NFPA 101, JC and CMS standards and requirements
  • Supports budget tracking, procurement, reimbursements, and contracts for EH&S-related vendors and services. Maintains department records and assists with invoice reconciliation, timekeeping, and HR/payroll coordination as needed.
  • Collects, analyzes, and summarizes data for EH&S, workplace violence, and emergency management dashboards. Prepares reports for regulatory agencies, committees, and leadership. Maintains confidentiality of sensitive data
  • Serves as administrative liaison for the Environment & Safety Committee, Workplace Violence Committee, and related subcommittees. Coordinates agendas, minutes, follow-up tasks, and meeting logistics.
