In the role of a Clinical Trials Budget Specialist I you will be working in our Research Office.


Purpose

The Office of Research helps to facilitate life-saving biomedical research at the Medical College of Wisconsin. Nine distinct units provide specialized support to meet the administrative needs of our investigators and research staff, and together we coordinate, regulate, and monitor research studies. Within our Administrative Unit, the Clinical Research Operations Quality Program provides support such as regulatory guidance, budget support, research systems assistance, and resources to facilitate clinical research operations.

Under close supervision, the Clinical Trial Budget Program Support Specialist supports activities of the clinical trial budget development team. The Support Specialist provides intake for inquiries and helps to resolve, triage, or escalate issues as needed, and helps to monitor the queue of budgets in progress with an emphasis on quality, efficiency, and timely study activation. The Support Specialist will support the day-to-day administrative activities of the Clinical Research Operations Quality Program and will provide assistance to teams to facilitate budget development.

Primary Functions

  • Supports trial activation the development of basic clinical trial budgets including review of protocols and relevant documents to ensure that appropriate costs and allocation of institutional resources are fully captured in the budget.
  • Work in collaboration with ancillary teams, departments, investigators, research staff, supporting administration, and sponsors/funding agencies to intake inquiries, and resolve or triage issues as needed.
  • Monitor the queue of budgets in progress, address significant delays as directed and follow-up with study teams and stakeholders as needed.
  • In collaboration with Budget Specialists, facilitate ongoing budget discussions. This will include documenting progress and providing updates to affected parties.
  • Assist in entering and maintaining the budget and other financial information into OnCore Clinical Trial Management System (CTMS) to maintain proper reimbursement and revenue integrity.
    Perform pre-award quality assurance to verify completion of required elements prior to Medicare Coverage Analysis.
  • Apply emerging knowledge of clinical research to provide recommendations and direction to clinical research teams to ensure compliance throughout all phases of the Clinical Trial Financials Lifecycle.
  • Support the development of departmental policies, procedures, and resources to support clinical trial financials workflows.
  • Provide excellent customer service while maintaining accurate results in a fast-paced, deadline-driven team environment.
  • Engage in special projects and ad hoc duties as a member of the administrative team.


Knowledge - Skills - Abilities

  • Basic knowledge of clinical trials is expected.
  • Fundamental knowledge of clinical trial budgets is preferred.
  • Ability to learn, understand, and apply principles of research billing compliance, institutional and departmental policies and procedures.
  • Problem solving and critical thinking skills are necessary.
  • Proficiency using Microsoft Excel is required. Experience with OnCore CTMS preferred.
  • Excellent oral and written communication skills are essential.
