Primary Purpose of Position
The Assistant to the Senior Director provides advanced administrative, operational, and analytical support to the Senior Director of Finance, Quality, and Business Operations. This position ensures the efficient coordination of financial, business, and program activities by managing information flow, maintaining records, coordinating travel and purchasing activities, supporting quality initiatives, managing web content, and assisting in the execution of organizational priorities.
Minimum Education/Experience
Graduation from high school and one year of related office experience; or an equivalent combination of education and experience.
Essential Job Duties

  • Provide advanced administrative support to the Senior Director and unit leaders including calendar management, document management, office management
  • Serve as a key partner in coordinating the day-to-day functions of the Facilities Finance, Quality, and Business Operations unit, bridging administrative, financial, and operational priorities to support organizational goals and enhance overall effectiveness.
  • Prepare correspondence, reports, presentations, publications, etc. and coordinate logistics for internal and external engagements.
  • Demonstrates proficiency with the Microsoft Office Suite (Excel, Word, PowerPoint, and Visio), Google Workspace tools, Banner Finance, and e-procurement platforms, WordPress and Canva. Effectively uses these tools and other information systems to support administrative efficiency.
  • Create, enter and track procurement and e-commerce transactions, travel/training activities, etc. in accordance with university policies.

Other Work Responsibilities

  • Confidently interact directly with leadership.
  • Develop and maintain the unit's website presence, ensuring information is accurate, engaging, and aligned with university branding and accessibility standards.
  • Serve as the central point of contact for inquiries, information sharing, and coordination across sub-departments and leadership teams, assist in drafting policies, guidelines, manuals, and other business publications/documents

Departmental Preferred Experience, Skills, Training/Education

  • Graduation from a two year business administration program with one year of experience.
  • Experience supporting leadership in a higher education, finance or facilities environment,
  • Experience in preparing documentation, correspondence, electronic communication, PowerPoint presentations, manuals, etc., and updating web content.
  • Commitment to continuous improvement, customer service and operational excellence.
  • Proven ability to manage multiple priorities with discretion, accuracy and professionalism.
  • Effective skills in verbal, written, and interpersonal communication.
  • Knowledge and skill with Google Suite Applications, Banner Finance, Concur, Canva, WordPress and Microsoft Office Suite with intermediate or advanced skills in using Excel. Willingness to learn campus-specific and new programs.
