Job Summary

This role focuses on the technical aspects of the college's CRM system, critical integrations with the Student Information System (SIS), and reporting to facilitate data-driven decision-making and efficient enrollment management operations from recruitment through completion. Triage data-related system issues, collaborate with IT to diagnose root causes, test fixes, and validate data sync.

Essential Functions

30% Records Management & Compliance
  • Maintain physical and electronic student- and enrollment-related records in accordance with institutional retention policies.
  • Establish and document standards for the creation, storage, retrieval, and disposal of records.
  • Ensure alignment with regulatory requirements and organizational goals.
  • Develop, implement, and maintain records retention and management policies consistent with federal (e.g., FERPA), state, and accrediting body requirements.

25% Operational Reporting & Dashboard Development
  • Design, build, and maintain CRM/SIS-driven dashboards and operational reports.
  • Monitor key performance indicators (e.g., application-to-enrollment yields, pipeline health).
  • Compile and validate semesterly enrollment, retention, and completion metrics.
  • Deliver accurate reports and data extracts on schedule to institutional stakeholders.

25% Data Audits, Tracking, Reporting and & Integrity Assurance
  • Plan and execute regular data audits across CRM and SIS to identify and remediate inconsistencies.
  • Document findings, recommend and implement process improvements, and track resolution.
  • Compile reports for internal departments or accreditation agencies.
  • Oversee technical integrations between the CRM (XX CRM) and the Student Information System (e.g., PeopleSoft).
  • Triage data-related system issues, collaborate with IT to diagnose root causes, test fixes, and validate data sync.
  • Run queries and audits to ensure data integrity.
  • Participate in audits or accreditation reviews as necessary and required.
  • Prepare regular reports as necessary and required.
  • Ensure all research and culminating experience requirements are entered into designated systems, while maintaining confidentiality and exercising discretion in communicating information to faculty, students, staff and the various publics served by the college while handling records and files and similar confidential items.
  • Remain competent and current through self-directed professional reading, developing professional contact with colleagues, attending professional development seminars, and attending training and/or courses as directed by the senior executive.
  • Maintain documentation in compliance with district or state policies.
  • Maintain confidentiality of student records in compliance with the Family Education Rights and Privacy Act (FERPA).
  • Maintain confidentiality of information exposed to in the course of business regarding students, supervisors or other employees.
  • Maintain confidentiality. Maintain accurate records as required by accreditation agencies, school policies, and administrative regulations to ensure compliance with regulations, with a commitment to discretion and confidentiality, as appropriate.
  • Work closely and collaboratively with other administrators, departments, and faculty governing bodies and committees to educate, provide advice, interpret, and ensure compliance with existing MCCCD/MCC academic policies and procedures.

15% Records Retention Schedule Oversight
  • Manage and update the MCC Records Retention Schedule.
  • Coordinate retention requests and compliance filings under Arizona's Local Records Act.
  • Train staff on records processes, legal requirements, and routine disposal procedures.

5% Other
  • With delegated authority train, and assist new employees as needed to provide excellent customer service.
  • Participate in cross-training and professional development.
  • Handle special projects or assignments as needed.
  • Assist office with projects, assignments, events, and information collection as needed.
  • Serve on various executive boards, college and district committees (including locally, regionally, and nationally) as designated and participate in meetings and conferences.
  • Responsible for other reasonable related duties as assigned commensurate to the grade level of the position.


Minimum Qualifications

Bachelor's Degree from a regionally accredited institution and two (2) years of student services or college teaching experience, or experience coordinating, administering, planning, or evaluating programs.

OR

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

Desired Qualifications

A. Bachelor's degree preferred

B. Three (3) years of professional experience in a higher education environment with a preference to work in a multi-college independently accredited enrollment, workflow, systems analyst, or business intelligence role

C. 3+ years experience in records or information management, document retention policies, digital archiving, and compliance standards within higher education (particularly registrar's office), or a similarly complex organizational setting

D. Significant experience working with a CRM tool, including a strong understanding of the technical and functional aspects of the tool

E. Proven experience with SIS data management, including integrations and ensuring data consistency between CRM and SIS. Familiarity with PeopleSoft Campus Solutions is preferred

F. Experience with data visualization tools, data warehousing tools, and data integration tools

G. Strong understanding of data management principles and best practices

H. Preferred Certifications: Certified Records Manager (CRM)

Special Working Conditions

Work schedule varies during the year: August through mid-May: Monday - Friday, 8 hour days; mid-May through the end of July: Monday - Thursday, 10 hour days

May require working evening and weekend hours (example: Saturday coverage during peak weeks)

This position is fully on-site, with no remote options

Required to sit for a prolonged period of time; viewing a computer monitor

May be required to travel or be assigned to another MCCD location

Travel to campus during interview/selection process will be at candidate's own expense
