Office Managers are responsible for:



  • Maintaininga formal data collection system to track statewide information to ensure data integrity and completeness
  • Developing reports and correspondence on a regular basis including monthly and quarterly reports. Coordinatingreporting compliance from various programs and consolidatinginformation to a single report as requested
  • Compilingdata and information and generatingreports from electronic health record, population management system, and other adjunct databases as requested by State Director.
  • Coordinatingvarious activities for statewide administrative staff to ensure full provision of services to funder, as well as for support staff to improve program service
  • Recommending, implementing, and communicating changes to maintain efficient operation of programs and in compliance with funder and other regulatory guidelines
  • Communicating with assigned facilities, funder, and Human Resourcesas needed on behalf of Missouri employees. Maintainingemployee personnel files according to established guidelines
  • Performingpersonnel administration for the assigned facility. This includes maintaining personnel files and training records, collecting and processing time sheets, preparing employment offers and processing new hires, and responding to questions concerning policies and procedures to ensure personnel actions are in compliance with federal, state and Gateway rules and regulations
  • Directingonboarding, training, and compliance of all state administrative personnel in collaboration with individual Program Directors
  • Compiling and submitting monthly reports and invoices as required by the state funder



Job Requirements:



  • High School diploma and minimum of five (5) years of administrative duties experience; or Bachelor degree and minimum two (2) years of relevant experience



Physical Requirements:



  • Ability to walk and move about the facilities for up to two hours at a time, to monitor and interact with clients
  • Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Ability to use a keyboard and video display terminal to receive, retrieve, and/or audit information and data
  • Ability to record, proofread and check documents and files for accuracy
  • Ability to respond to telephones, and to hear and detect alarms and unusual noises
