Position Overview
Blue Yonder Defense Solutions is seeking an Executive Assistant to the CEO who will play a vital role in supporting the daily operations and strategic initiatives of the executive office. This individual will serve as a trusted partner to the CEO, managing a dynamic schedule, coordinating communications, and facilitating smooth collaboration across the leadership team and external stakeholders. The ideal candidate is highly organized, proactive, and capable of handling sensitive information with discretion. This role requires professionalism, attention to detail, and the ability to operate effectively in a fast-paced, mission-driven environment supporting government clients.

What You'll Do:

Executive Support
o Provide high-level administrative support to the CEO, including calendar management, scheduling, travel coordination, and expense reporting.
o Manage and prioritize incoming communications (emails, calls, and correspondence) to ensure timely responses and effective follow-up.
o Prepare briefing materials, presentations, and reports for executive meetings, board sessions, and client engagements.
o Anticipate the CEO's needs and proactively manage priorities and deadlines.
Operational Coordination
o Serve as a central liaison between the CEO, leadership team, and key internal and external stakeholders.
o Coordinate logistics for executive meetings, offsites, and company-wide events.
o Support documentation, follow-up, and execution of key action items from leadership discussions.
o Assist in preparing and maintaining confidential records, contracts, and compliance documentation related to government programs.
Strategic & Project Support
o Contribute to special projects and initiatives as directed by the CEO, ensuring milestones and deliverables are met.
o Support internal communication efforts to align employees with company goals and mission priorities.
o Maintain awareness of ongoing programs and assist in coordinating cross-departmental activities that advance strategic objectives.
Government & Client Interface
o Coordinate executive-level interactions with government clients, partners, and subcontractors with professionalism and discretion.
o Ensure compliance with security and confidentiality requirements when handling sensitive or restricted information.

Who You Are
o Bachelor's degree in business administration, Communications, or related field (or equivalent experience).
o 5+ years of experience providing executive-level administrative support, preferably within the technology, defense, or government contracting sector.
o Strong organizational skills and the ability to manage multiple priorities simultaneously.
o Excellent written and verbal communication skills.
o High level of professionalism, discretion, and sound judgment.
o Proficiency in Microsoft Office Suite, Google Workspace, and virtual collaboration tools (e.g., Teams, Zoom, Slack).
o Experience supporting C-suite executives in a growth-oriented or government-focused software company.
o Active security clearance or eligibility to obtain one.

The salary range information provided, reflects the anticipated base salary range for this position based on current national data. Minimums and maximums may vary based on location. Individual salary will be commensurate with skills, experience, certifications or licenses and other relevant factors. In addition, this role will be eligible to participate in either the annual performance bonus or commission program, determined by the nature of the position.
