The Opportunity:

Embry-Riddle Aeronautical University's Office of the President is seeking a highly motivated and detail-oriented Executive Specialist to join our team. The Executive Specialist will play a key role in supporting the President's initiatives by managing special projects, coordinating high-level events, and assisting with executive communications. The ideal candidate will exercise sound judgment, demonstrate strong organizational and interpersonal skills, and maintain a calm, professional presence while handling confidential matters.

Working in close partnership with the Senior Executive Assistant to the President, the Administrative Specialist, and the Director of Board Operations, the Executive Specialist ensures smooth daily operations and the delivery of exceptional service across all functions of the Office of the President.

Qualifications

Primary Responsibilities

  • Executive Support: Assist with scheduling, research projects, VIP tours, and travel coordination for the President; plan and support special events in collaboration with the Campus Events Team.
  • Administrative Liaison: Serve as a professional, front-facing representative of the Office of the President; manage calls, visitors, and communication between departments and external partners.
  • Financial Administration: Process invoices, journal entries, and specialty orders; reconcile travel expenses and monitor departmental budgets; coordinate VIP, holiday, and event purchases.
  • Project and Meeting Support: Prepare agendas, minutes, reports, and branded materials in collaboration with the Creative Team.
  • Event Requests: Respond to appearance and participation inquiries for the President; assist with logistics for the Board of Trustees meetings and retreats.
  • Other duties: Campus and off-campus errands as requested for the Office of the President, with some requiring use of university vehicles (golf cart, SUV, nine passenger van).

Required Education and Qualifications

Education:

  • Bachelor's degree or equivalent combination of education and relevant experience.

Experience:

  • 3-5 years of administrative support experience, preferably in an executive office or higher education setting.
  • Event planning or project coordination experience is strongly preferred.

Skills and Competencies:

  • Strong judgment and discretion in handling confidential information.
  • Excellent written, verbal, and interpersonal communication skills.
  • Advanced organizational ability with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Teams).
  • Familiarity with Workday, Adobe Pro, and videoconferencing tools (Teams, Zoom) preferred.
  • Ability to work independently, prioritize effectively, and collaborate across teams.
