Description
General Summary
Responsible for providing administrative and clerical support within Ophthalmology. Ensures that daily operations run efficiently, department protocols are followed, and patient and staff needs are addressed in a timely and professional manner. Serves as a second point of contact for departmental matters, supporting management in maintaining smooth workflow and operational excellence. Essential Functions Oversee daily tasks to ensure timely insurance verification, authorizations, and benefit checks Enforce and maintain compliance with all department protocols and procedures Serve as the second point of contact for the department, addressing concerns and assisting with issue resolution Monitor team productivity and quality standards; provide consistent feedback and coaching to improve performance Partner with leadership to identify process improvements and implement standardized workflows Coordinate team coverage, task assignments, and balance workloads as needed Communicate updates on payer rules, authorization requirements, new policies, and procedural changes to staff via email and team meetings Provide support in training and onboarding new staff members, ensuring compliance with standardized departmental procedures Verify insurance in advance using Phreesia App and appropriate insurance portals Contact primary care providers (PCPs) to obtain required referrals and/or authorizations Verify benefits directly with insurance companies or PCPs prior to patient appointments Inform patients of their insurance benefits, including copays, deductibles, and any self-pay responsibilities Requirements
Job Specifications Typically has the following skills or abilities Two to three years of experience or equivalent training in a similar role in insurance verification, medical billing, or related healthcare administrative role Strong knowledge of insurance plans, authorization requirements, and medical terminology Proficiency with verification tools and EMR/HER systems; experience with Phreesia preferred Ability to manage multiple tasks and priorities effectively Strong ability to handle and resolve patient complaints professionally and empathetically Demonstrated ability to manage urgent or stressful situations calmly and effectively Excellent written and verbal communication skills with precise spelling and grammar Bilingual in English and Spanish preferred Proficiency with use of computers and programs Ability to establish effective relationships with patients and fellow staff Follow administrative, ethical, and legal requirements for safeguarding patient privacy VSP Vision is an equal opportunity employer and gives consideration for employment to qualified applicants without regard to age, gender, race, color, religion, sex, national origin, disability, or protected veteran status.
