The Campus Health Service's (CHS) Counseling & Psych Services (CAPS) Psychiatry Team Supervisor and/or Care Coordination Supervisor. This position will perform a variety of duties assisting the operation of the CHS Psychiatrists, Psychiatric Nurse Practitioners, and Psychiatry Residents as part of the larger CAPS department. It involves a combination of clerical duties, care coordination tasks, basic medical intake procedures, interfacing with students (patients), parents, medical staff, pharmacies, and other counseling and medical providers. The CHS was the first fully accredited college health service in the nation and in the Princeton Review, the CHS has been ranked in the top 4% for Best Health Services for the past twelve years. | Duties & Responsibilities |
- Maintain the
CAPS psychiatry office operations by scheduling appointments (both by phone, electronically and in person), verifying eligibility and managing paper and electronic information concerning the patients. - Work closely
and cooperatively with members of the psychiatry staff, as well as the larger counseling clinic clerical and provider staff to ensure excellent service delivery. - Accurately take
and deliver phone and other messages to and from the psychiatry staff members. - Enter and
retrieve relevant patient information, utilizing the electronic health record; ensure accurate billing using a variety of accounts. - Greet and
prepare patients for psychiatry appointments by taking vital signs (blood pressure, body weight, pulse and/or temperature), measuring weight and height, and recording this information in the student's medical record. - Distribute
relevant screening instruments to the patient prior to their appointment; manage the paper screening instruments and scan information into the medical record. - Work with the
medical records office to obtain outside medical records prior to patient appointments, when indicated. - Call in
prescription refills authorized by the psychiatric providers to the appropriate pharmacy, when allowed by law. - Obtain prior
authorizations for medications when required. - Provide
administrative support for the CAPS ADHD Clinic and psychiatry team by managing prior authorizations for ADHD medications, ensuring timely approvals and smooth coordination of care. - Maintain
cross-training and close work interface with the main CAPS support staff and care coordination teams. - Interface with
CHS medical providers, laboratory, pharmacy, billing office, and other members of the larger team, as indicated. - Manage and
coordinate referrals for off-campus medical, mental health, and psychiatric care in collaboration with the CAPS Care Coordination team, ensuring seamless support for the psychiatry team and continuity of care for clients. - Assist with
coordinating the CAPS Psychiatry Resident Program as needed. - Additional
duties may be assigned.
Knowledge, Skills and Abilities:
- Excellent communication skills
(verbal, written, and electronic). - Ability to convey information clearly,
calmly and patiently to patients, providers, and others. - Ability to
remain calm under pressure, exude a helpful demeanor; and display a professional customer service orientation. - Comfort and
familiarity with operating a Windows based computer and multi-line telephone system. - Ability to utilize an electronic scheduling system.
- Ability to
multi-task and manage information from multiple sources. - Ongoing First
Aid and CPR Certification will be required. - Sensitivity and
commitment to fulfilling the CAPS/Campus Health mission to serve all students of all backgrounds in a manner that is consistent with individual and group needs. - Dedication to
working within an interdisciplinary framework to serve individual and group-based needs. - Knowledge and
sensitivity to current and historical dynamics that serve as barriers to care for students. - Demonstrated
ability to work effectively with a wide-ranging population of clients presenting a broad range of clinical needs.

| Minimum Qualifications |
- High school
diploma or high school diploma equivalency is required. - Minimum of 3 years of relevant
experience or equivalent combination of education and work experience.

| Preferred Qualifications |
- Certificate of completion of a Medical Administrative Assistant Program.
- Ambulatory health clinic experience, especially in a mental health clinic setting.
- Two years of medical office experience; especially with adolescent or young adult populations.
- Exceptional interpersonal and communication skills.
- Experience with electronic medical records.
