Temporary Job Description: The Administrative Assistant (AA) is an integral member of the John L. Ward Center for Family Enterprises (KCFE) team, composed of a group of globally recognized academics supported by dedicated administrators. The AA assists in the administration of existing activities as well as new initiatives. The AA reports to the Administrative Director of the John L. Ward Center for Family Enterprises (KCFE) team. Specific Responsibilities
Assists with meeting scheduling of both internal and external stakeholders using Outlook, Calendly and other efficiency tools. Drafts materials including PowerPoint presentations, Word Doc Agendas, Excel spreadsheets, etc. Assists with event logistics such as venue research, RSVPs, mail mergers, and other duties as assigned. Inputs data into various systems including Zoho, Smartsheet, Cvent, etc. and updates data for accuracy. Develops understanding of Kellogg Ecosystem to process expenses, submit contracts, set up new vendors, etc. Conduct various research projects such as Key families or other stakeholders that can meaningfully engage with the center programming. Background searches about various stakeholders. Competitive Analyses. Other duties as assigned.
Minimum Competencies and Qualifications:
Successful completion of a 2-year course of study in an accredited college or university leading to an associate's or higher degree; OR appropriate combination of education and experience. Successful track record/experience as an administrative assistant. Consistent weekly availability. Demonstrated ability to interact professionally with various stakeholders via written, oral and interpersonal communications. Customer service orientated bringing a positive, collaborative, can-do attitude. Ability to multi-task, balancing competing priorities and deadlines by showcasing outstanding organization and time management; proactive and resourceful initiative-taker. Discretion and good judgment handling private information. Skilled in digital tools such as MS Office (Word, Excel, PowerPoint), LinkedIn, LI Sales Navigator, database systems, Chat GPT, travel platforms, etc.. Resourceful at research and analysis.
