About the Job

We are looking for an HR Coordinator to join our team! The Libraries HR Team equips and empowers employees to be their best at work. The HR Coordinator serves as a collaborative member of the HR Libraries team to provide HR coordination in a variety of human resources areas, including workforce data management, personnel file management, search support, and onboarding/offboarding support. This 75%-time (30 hours/week) position works closely with the HR team and reports directly to the HR Director. The hours for this position are 6 hours/day Monday - Friday between the hours of 7:30am - 4:00pm (scheduled arranged upon hire). This role is onsite 2-3 days a week (or as business needs dictate).

Responsibilities

HR Administration & Special Projects (35%)

  • Personnel and Search Records Management
  • HR Website Content Lead (no website development, coding ,or programming involved)
  • Backup for colleagues as needed.
  • Special projects as assigned.

Recruiting and Student Employment (25%)

  • Manage positions and candidates in the HRMS system, PeopleSoft, for assigned openings.
  • Provide administrative support for assigned searches.
  • Complete the hiring process for assigned searches by facilitating reference checks, creating and sending offer letters, and submitting background checks.
  • Hire and review compensation of student employees during peak times. Serve as backup the remainder of the year.

Employee and Labor Relations, Engagement, and Development (20%)

  • Training and Event Support, including presentation materials and logistics.
  • Manage the distribution and collection of probationary and annual performance reviews.
  • Administratively support employee engagement survey follow up.
  • Respond to questions and requests coming into the Libraries HR email, providing basic policy and contract interpretation and guidance.

Onboarding & Offboarding Support (15%)

  • Support New Employee Orientations and other onboarding events, serving as a backup for other responsibilities as needed.
  • Manage compliance with I-9 requirements by communicating with employees and ensuring proper completion in a timely manner.

Workforce Data Management Support and Analytics (5%)

  • Create and maintain position specifications in PeopleSoft as the primary Position Manager.
  • Maintain Person of Interest (POI) and volunteer accounts, ensuring proper documentation and compliance is in place.
  • Data Analytics and Survey Support
  • Provide backup support to the Libraries Absence and Workforce Data Management Lead.
Qualifications

Required

  • BA/BS degree, or a combination of education and/or relevant experience to equal at least four years.
  • Proven attention to detail with a high level of accuracy and follow-through.
  • Demonstrated analytical and problem-solving skills.
  • Ability to learn new technology programs/features and platforms (such as Drupal, PeopleSoft/HRMS, formulas within Excel/Google Sheets, PowerPoint/Google Slides, etc.).
  • Demonstrated ability to work well with people from all backgrounds, communities, identities, and abilities.

Preferred

  • Experience reviewing HR data requests and entering them into a Human Resources Management System (HRMS).
  • Proficiency in the Google Suite applications.
  • Ability to establish trusted rapport with employees and managers.
  • Strong communication skills, both written and verbal.
  • Demonstrated initiative to identify needs and create solutions to address them.
Pay and Benefits

Pay Range: $25.65-28.85/hour, depending on education/qualifications/experience

Time Appointment: 75%-time Appointment (30 hours/week, 12-months/year)

Position Type: Civil-Service
