Job Description

Elwyn is currently seeking a Regional Operations Coordinator (ROC) to be responsible for providing administrative support to the Regional Director, and management team, upon request, to implementing administrative systems, and procedures to support efficient operation of the region. Primary responsibilities include but not limited to collecting, managing, organizing, and processing financial and administrative operational information as directed Regional Director.

DUTIES AND RESPONSIBILITIES:

Administrative
  • Coordinates, documents and follows up on all referral for services for individuals served. Shares external health information received from external providers with internal treating staff.
  • Facilitates receipt of annual medical release of information from treating health care providers. Document efforts related to follow up in obtaining said releases. Communicates status with internal treatment team.
  • Assesses which individuals have not received internal services within the last 30 days and reports out in weekly team meetings.
  • Conducts and documents outreach to individuals who are at risk of administrative discharge via phone calls and letters.
  • Provides administrative support to the region as requested.
  • Participates in and acts as the minute taker for all Regional Leadership Team Meetings
  • Facilitates Quality Improvement Committee (QIC) and Safety Committee meetings.
  • Organize and maintain Regional Office supplies, files, and equipment in efforts to organize facility and staff needs.
  • Human resources, follows up with missing HR paperwork, reports delays to Team Leader, as requested. Completes on-boarding for new hires.
  • Supports Regional Director in QM initiatives.
  • Assists as needed in the licensing process, i.e., applications, preparation, and follow-up.
  • Produces computer reports, including but not limited to state regulatory, QM, CARe or any other reporting as necessary
  • Acts as a liaison for the region with, including but not limited to" Accounts Payable, Accounts Receivable, IT, Human Resources, and external organizations etc.
  • Performs other duties as assigned.

?Finance

  • Processes invoices and seeks approval on one or more of the following: petty cash, rents (where applicable), supplies.
  • Reconciles all retail Point of Service cards and receipts and MasterCard Expense reports.
    Reconciles petty cash, reporting and submits request for cash in a timely manner.
  • Develops and maintains expense reports monthly to identify regional spending trends.

?Regional Responsibilities

  • Assists in the preparation for Elwyn CARF accreditation, licensing.
  • Review CARe and Avatar records to ensure perpetual readiness for QI sponsored Health Record Reviews, CARF accreditation and licensing reviews.
  • Primary contact for New Employee Orientation (NEO).
  • Assists in researching, gathering and coordination of data for FHR, NCTOPPS, and other regional needs.
  • May assist or be responsible for scheduling and facilitating Human Rights meetings, conducting investigations and or reporting
  • Assists Regional Director in budget preparation and the monitoring of expenses
  • Serves as liaison and maintains all documentation related to all NC site property vendors and service contracts
  • Maintains and assures that regional vehicle maintenance schedule is followed
  • Coordinates and maintains facility needs and upkeep
  • Prepare letters requesting medical records and maintain a log of requests and records received.
  • Provide ongoing Front Desk coverage including fielding calls, greeting guests and staff, and closing the office daily.
  • Provide assistance on regional projects related to maintaining timelines, communicating program needs, and connecting stakeholders and external sources.
  • Update program and regional policies and procedures related to pending regulation changes and organizational changes.
  • Maintain regional organizational chart, staff changes, and personnel contact information.
  • Other duties as assigned.

QUALIFICATIONS, EDUCATION AND EXPERIENCE:

  • ??Bachelor's Degree in a Human Service Field, Business Administration, or Health Education/Promotion and 1 or more years of medical administrative experience preferably in the behavioral health field which includes knowledge and experience working with individuals with various disabilities. Previous leadership or management is preferred.

  • High School Diploma and 3 or more years of medical administrative experience preferably in the behavioral health field which includes knowledge and experience working with individuals with various disabilities. Previous leadership or management is preferred.
  • Previous experience working within and managing a unionized workforce preferred
  • ?Non-profit human service experience highly preferred
  • Demonstrated ability to work effectively as part of a team
  • Ability to work in a fast-paced environment and manage and prioritize multiple, often competing, priorities
  • Demonstrated strong attention to detail
  • Demonstrated strong time management and organizational skills
  • Demonstrated ability to anticipate future needed changes or identify problem areas and take effective actions
  • Must be able to perform CPR and crisis intervention using agency-trained protocols
  • Must possess excellent customer interaction, collaboration, presentation, and written and verbal communication
  • Demonstrated (basic, intermediate, advanced) experience with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint; Access, Publisher and report-writer experience preferred
  • Experience using/knowledge of Electronic Health Record (EHR) / Electronic Medical Record (EMR)
  • Must have current, valid driver's license in state of residence, three (3) years driving experience in the United States, and acceptable driving record
