Position Overview:

As the Front Desk Coordinator at Caribou Coffee, you are responsible for creating a welcoming culture and working environment for employees and guests at the Support Center. You will maintain a professional work environment while executing general office tasks and a variety of administrative projects to ensure the company and employees have the resources needed to operate efficiently.

You will be successful in this role if you have an exceptional ability to work independently to anticipate the needs of the support center teams. This requires proactive planning, problem-solving, attention to detail, and organization.

This role requires on-site presence Monday - Friday 8:00 am - 4:30 pm.

Core Responsibilities:

Front Desk & Administrative Support

  • Manage the front desk, reception phone system and email, welcoming employees and guests, mail distribution, planning meetings, facility management, equipment, and office supplies efficiently.

  • Serve as a professional representative to customers, business contacts and vendors, and other external contacts.

  • Act as a welcoming and knowledgeable point of contact for Support Center employees, providing quality assistance and fostering a positive office culture.

  • Provide cross-functional support to various departments throughout the organization, including occasional executive-level support.

  • Aid in planning and coordination of company-wide meetings, celebrations, and office engagements.

  • Work closely with all levels of the organization and use independent decision-making and judgment to resolve issues

  • Take on various administrative tasks and responsibilities as needed to support and contribute to the overall success of the organization.

Office Management

  • Maintain breakroom, food, office, and mailroom supplies, ensuring all are properly stocked to support daily operations.

  • Create, edit, and deliver office communications in various forms (email, direct message, internal communications channel).

  • Handle mail and shipping tasks including sorting, distributing, and preparing outgoing mail and packages.

  • Manage catering orders for meetings and events.

  • Manage and submit expenses.

Qualifications:

Required:

  • 3+ years' previous office experience

  • Advanced skills in Microsoft Outlook, Teams, Word, Excel, and PowerPoint

  • Software experience with Concur, Expensify, Workday

  • Ability to effectively use technology

  • Ability to work 100% in office, 5 days a week

Preferred:

  • Bachelor's degree

Compensation Range:

$20.82 - $34.96 per hour

*Starting pay is subject to Local and State Minimum Wage regulations.

**Ranges reflect what employer reasonably and in good faith expects to pay for such position.

The physical demands for this position are reaching, lifting up to 50 pounds, sitting, standing, for 4 to 8 hours, bending, and moving intermittently during working hours. These physical demands may be accomplished with or without reasonable accommodations.
