Title: Office/Admin Service Supervisor

Job Code & Class: 7208S1
Department: Center for Immunology
Budgeted Salary Range: $21-37 per hour
Full-Time: 0.5 FTE

Position Overview:
The hired individual will manage the administrative operations of the Center for
Immunology (CFI). The individual is expected to work 20 hours per week on average, one
8-hour day in person in CFI and the remaining hours remotely.

JOB RESPONSIBILITIES
Function 1 (35%)
* Supervise the the daily work of an Executive Office and Administrative Specialist,
answering their questions about UMN procedures and policies related to finances and
facilities management and ensuring that they do their job up to CFI and UMN standards.
The candidate will be responsible for the annual performance review of the Executive
Office and Administrative Specialist. The candidate will also coordinate efforts between
the Executive Office and Administrative Specialist and a Research Professional 5-
Research Operations/Administrative NNE staff member on the CFI newsletter and
website.

Function 2 (35%)
* Provide administrative support for the CFI-sponsored MICaB Seminars. Once a speaker
is identified by a CFI faculty host, the candidate will independently contact the speaker
arrange and reimburse their travel, prepare an appointment schedule, advertise the
seminar, rearrange audiovisual support, and troubleshoot issues that arise during the
visit.

Function 3 (20%)
* Event planning. The candidate will research possible venues for the annual CFI
conference, negotiate rates for hotel rooms and event spaces, sign contracts, plan the
schedule, pay expenses, and ensure that the event costs stay within the budget. The
candidate will attend the event and troubleshoot onsite issues as they arise. The
candidate will lead the efforts of the Executive Office and Administrative Specialist and a
Research Professional 5-Research Operations/Administrative NNE staff member to
administer the, Blumenthal Lecture, and Clearly Lecture, including securing a venue, ranging and reimbursing travel, acting as a liaison between speakers and the CFI faculty
host, advertising the event.

Function 4 (5%)
* Monitor the CFI budget and advise the CFI Director on spending decisions.

Function 5 (5%)
* Assist the CFI Director with philanthropic fundraising.

Qualifications

Required Materials must be shown on the application materials.

Required Qualifications:
* BA/BS or a combination of related education and work experience to equal 4 years.

Preferred Qualifications:
* Past work with a UMN Medical School department.

Pay and Benefits

Pay Range: $21.00-$37.00 per hour; depending on education/qualifications/experience
Time Appointment: 50% Appointment
