What You Will Do:

The Student Life Coordinator provides comprehensive support for P.A.C.E. (Path to Academics, Community, and Employment) at NLU. This role is responsible for arranging and managing logistics for Student Life, including student activities, leave and guest requests, special events, ongoing facility's needs, program supplies, and coordinating PACE move-in and move-out. The Coordinator creates and distributes weekly marketing emails to students and families highlighting upcoming activities and events and serves as a direct point of contact for communication from parents, the University Center, prospective student families, and other NLU departments. The Student Life Coordinator also assists with summer programming, overseeing the Summer Experience Program, and planning for fall, winter, and spring term PACE programming. During the 30-week academic session, the Student Life Coordinator might need to be available on weekends to provide activity support and respond to RLA communication regarding planned events, logistics, or other program-related needs. This is a full-time, 12-month position based between the Chicago Campus and University Center Chicago, with some evening and Saturday hours required.



Essential Responsibilities

    Arrange all community Friday evening dinners and Saturday activities and Saturday Dinners for PACE students. Manage logistics and communicate logistics and details to the Assistant Director for approval. Once approved Student Life coordinator will communicate the logistics to the Lead RLA for execution. Student Life Coordinator is responsible for sending out Friday Dinner Reminders via Email and Saturday Activity Reminder emails to students and staff weekly. Student Life coordinator will be the direct contact for Senior RLA, RLA's, students and families who have any questions regarding PACE events/ weekend activities. Create and distribute weekly marketing emails to students and families highlighting upcoming activities and events.
  • Maintain and update the PACE campus leave and guest requests. Provide up-to-date record of student leave and guests on a timely basis to the Lead RLA for monitoring by the RLA team. Student Life coordinator is the direct point of contact for campus leave requests submitted by students/ families and will update request changes made in real time.
  • Receive all incoming Student Life PACE communication via email and phone and direct to the appropriate PACE staff member. Direct PACE parent/guardian communications to appropriate team lead.
  • Coordinate with the undergraduate college operations team to order and track all PACE supplies. Receive deliveries and provide to appropriate PACE staff member. Maintain inventory of supplies for the Student Life Team and reorder with approval from PACE Student Life Manager. Maintain inventory of supplies and reorder with approval from PACE Program Operations Manager for supplies needed for PACE events. Provide admin support for PACE Team in the areas of ops.
  • Responsible for planning and executing major events, including the Creative SLAM fundraising event and Annual Spring Formal. Other events include Parents' Weekend, Graduation Banquet, lunch-and-learns, and other students' events. Coordinate the Annual Spring Formal, Graduation Banquet, quarterly Service-Learning Projects, and additional social events throughout the year. Duties include booking venues, ordering supplies, sending invitations, managing RSVPs, and overseeing all related logistics. Serves as the primary point of contact for students and families regarding event-related inquiries.
  • Be available on select weekends during the 30-week academic session to support planned student activities and respond to RLA communication regarding event logistics or program needs. Provide backup support during major Student Life or campus events to ensure smooth execution.
  • Manage family/student schedules for student breaks, move-in/move-out to/from the University Center. Student Life Coordinator will be the direct point of contact from the University Center for any updates regarding students/ families/ or important information in partnership with University Center. Student Life Coordinator will communicate with Residential Life Manager immediately in the event of a crisis or emergency situation for on-call support.
  • Communicate PACE needs to NLU Facilities team as needed/ University Center needs for dorm needs.
  • Monitor and update spreadsheets for orders placed and activities planned for Student Life to keep track of the spending and stay within program budget with Assistant Director overseeing the approval of purchases made. Other administrative tasks as needed.
  • The Student Life Coordinator assists with summer programming, overseeing the Summer Experience Program, and planning for fall, winter, and spring term PACE programming.


Qualifications

  • Bachelor's Degree in Human Services/related field OR equivalent mix of experience and education.
  • One (1+) year experience in project coordinating recreational activities and special events.
  • One (1+) year proficiency with Microsoft Office Suite, Microsoft Teams, Canva, Google Docs, Smartsheet, Social Media.
  • Strong written, verbal and interpersonal skills
  • Strong attention to detail and organizational skills.

Work Environment/Physical Demands/Travel Requirements:

Work Location: This position is based between the Chicago Campus and University Center Chicago, with some evening and Saturday hours required. The PACE program is a non-traditional work environment. Must be able to be flexible with work hours, including weekend and evening hours for on-call or other program events.

The salary range of the grade for this position is $47,365 to $66,311 annually. Compensation decisions are dependent upon the facts and circumstances of each position and candidate. Offers are based on multiple factors permitted by law, including but not limited to: budgetary considerations, job-related knowledge/skills, experience, market considerations, tenure and standing with the university (applicable to current employees), and internal equity.
