Mailroom Clerk - on-site in Chicago, IL

Responsible for receiving, sorting and scanning incoming mail and/or packages to distribute to departments or individuals. Responsible for collecting and metering outgoing mail and/or packages and delivering them to the respective drop-off box in the building. Other responsibilities include general administrative duties such as stocking copier paper and setting up meeting rooms as needed.

Here is some of your day:

  • Mail Processing & Security: Sort mail daily for time-sensitive documents, stamp and deliver bankruptcy letters same day to 7th floor litigation team, never open private/confidential mail, and process all mail only within secure mailroom
  • Mail Distribution: Place mail in proper distribution piles, deliver to individual mail slots or directly to recipients, and ensure personal/confidential mail is delivered same day unopened
  • Courier & Shipping Management: Scan and process all incoming/outgoing courier shipments (FedEx, UPS, DHL, messenger, USPS Priority), weigh mail for correct postage, and arrange courier pickups
  • Mail Equipment Operations: Run outgoing mail through Metered Pitney Bowes Machine with proper cost center codes, fold and insert documents into envelopes, and apply correct postage (no personal mail)
  • Documentation & Tracking: Record certified/registered mail using FileMaker Pro Security Mail Tracking software, scan/email USPS Business Reply Mail manifests to management, and turn over checks to BMO Bank personnel
  • Daily Operations: Pick up mail from stations throughout the day, ensure pre-noon pickups are stamped and placed in 5th floor mailroom bin for timely delivery, and follow BMO mailroom Record Retention Schedules
  • Office Support Services: Perform hospitality and minor housekeeping, stock mailroom and copy room supplies, support office moves and charity events, and set up/tear down conference rooms
  • Client Communication: Respond to client inquiries via telephone, email, or Microsoft Teams, and submit any additional requested duties to reporting manager for review before execution

Here is who we are looking for:

  • 1+ years of mailroom experience
  • High school diploma or GED
  • Excellent computer skills, specifically Word Processing and Database entry and knowledge of fax and scanning machines

Physical work requirements and work conditions

  • Must be able to lift a minimum of 50 lbs.
  • Ability to spend much of the day on his/her feet
  • Must be able to work quickly with hands and have good hand/eye coordination

Pay $18-21 hourly

Schedule: Monday - Friday 7:15 a.m. - 3:45 p.m.

Estimated compensation for this position:

38,100.00 - 46,700.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
