The Impact You'll Make

We are looking for an energetic individual to support our Office of the CTO Product Group leadership team. An ideal candidate is a self-starter, organized and can maintain high level of integrity and confidentiality. Have the ability to react with appropriate urgency to emerging situations, be able to complete multiple high-priority tasks efficiently, and be comfortable to make decisions with minimal oversight. Requires excellent communication and ability to work well with others in a fast-paced environment.

Here's what you'd do:

  • Daily tasks may include, but are not limited to:
  • Provides analytical and specialized administrative support to relieve executive, administrative, and line and staff managers of complex details and advanced administrative duties.
  • Executes special or continuous research and data analysis tasks.
  • Analyzes problems, determines approach, compiles and analyzes data, and prepares reports/recommendations.
  • Coordinates activities between departments and outside parties.
  • Contacts company personnel at all organizational levels to gather information and prepare reports.
  • Work is generally of a critical or confidential nature. Assignments may be found in various functional areas.
  • Manage multiple executives' calendars proactively reschedule and prioritize across global time zones and internal/external client schedule coordination.
  • Schedule travel and create detailed travel itineraries both domestic and international (including smooth transitions between time zones).
  • Coordinate with in-house travel agents and manage international travel process.
  • Submit expense reports in a timely fashion.
  • Manage and coordinate team meetings and events to include, but not limited to holiday events, all employee meetings, and team building functions.
  • Successfully plan and execute new hire setups with ordering supplies and equipment for onboarding.
  • Coordinate interviews including but not limited to seeking availability for panel interviewers and candidate, arranging candidate travel and travel reimbursement.
  • Creates purchase orders, payment requests and other department forms and documents.
  • Manage Teams SharePoint sites and be the gatekeeper for confidential information.
  • Provide support as needed for other leaders and staff members within the organization with miscellaneous tasks and duties.
  • This position will work closely with other Administrative staff and may include being a backup as needed.

Here's what you'll get:

Pay: $55.93/hr.

Hours: 40 hours/week.

Length: Temp (12 months).

Job Requirements
Required Skills / Qualifications:
  • High School Diploma or GED.
  • Minimum of 6+ years' experience providing administrative and operational support for Director+ level executives
  • Professional proficiency with MS Suite (Outlook, Word, PowerPoint, Excel)
Preferred Skills / Qualifications:
  • Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
  • Self-starter, organized and can maintain high level of integrity and confidentiality.
  • Have the ability to react with appropriate urgency to emerging situations, be able to complete multiple high-priority tasks efficiently, and be comfortable to make decisions with minimal oversight.
