About the Job.

The Logistic Specialist manages day-to-day submittal tracking, vendor communication, and material lead-time coordination. This role is responsible for executing the detailed work of logging, tracking, updating, and pushing submittals through approval while ensuring material information is accurate and up to date for the project team.

Essential Functions & Responsibilities

Responsible for the Material Submittals across projects

  • Creating project-specific submittal logs immediately upon LOI handoff.

  • Managing, updating, and maintaining all submittal logs throughout the approval process.

  • Coordinating with vendors to obtain accurate submittal documents and lead-time information.

  • Confirming all submittals are fully reviewed, approved, and formally logged prior to material release.

Coordinating lead times & logistics for 1st material deliveries

  • Tracking vendor lead times and updating project schedules with accurate dates.

  • Maintaining real-time visibility of all material statuses for assigned projects.

  • Coordinating first delivery dates with project starts and documented lead times.

  • Ensure material deliveries and lead times are implemented into the OPC schedule.

  • Communicating any delays, discrepancies, or missing information to the Lead promptly.

  • Supporting the broader team by ensuring submittal documentation is complete, organized, and aligned with internal standards.

Expectations

  • Act as a representative and advocate of JPI's culture and guiding principles

  • 5 day (Monday-Friday) Physical Co-location

  • Daily Collaboration

  • Thorough knowledge of daily on-site activities

Non-essential Functions & Responsibilities

Education, Work Experience, & Physical Requirements

  • Bachelor's degree in related field.

  • 3-5 years' experience in a business or professional setting (inclusive of non-profit or government roles).

  • Proven experience in an executive support role or similar position.

  • Excellent organizational and leadership skills.

  • Strong interpersonal and communication abilities.

  • Proficiency in using business software and tools, including MS Office and project management applications.

  • Ability to handle confidential information with discretion.
