Job Summary:
This position is accountable for the successful operation of multiple urgent care centers. The Urgent Care Operations Manager collaborates with MWHC Leadership for strategic planning, program development, clinical and operational quality improvement, and financial/budget reporting and monitoring. The Urgent Care Operations Manager works in collaboration with the Medical Director(s) to develop an environment that promotes excellence in clinical practice and customer satisfaction, while striving for optimal efficiency and productivity of all resources within MWHC. This position provides administrative direction and assists in developing and implementing organizational policies, procedures, and programs.
Essential Functions & Responsibilities:
- Ensures compliance to state, local, and federal standards and regulations by following and implementing organizational policy, procedures and training programs.
- Develops, implements, and monitors standards of practice for patient care to assure that performance is achieved and opportunities for improvement as it relates to patient experience, coding, and reimbursement for services rendered. Participates in regulatory and insurance audits and inspections.
- Assures staff scheduling is adequate to meet the needs of the facility, patients, and community.
- Ensures facilities and equipment are maintained to provide a professional setting with fully functioning equipment for the patient care experience. Provides analysis and recommendations for capital equipment purchases.
- Manages clinical and support Associate positions to include the selection, retention, orientation, training, performance development and termination of Associates as needed.
- Manages patient concerns and complaints, facilitating resolutions and providing recommendations for areas of improvement as necessary.
- Participates in meetings, serves on committees, and represents the department and hospital/facility in community outreach efforts as appropriate.
- Maintains professional growth and development by attending educational programs and participating in professional organizations.
- Ensures accurate maintenance of patient's medical records and the patient records are treated as confidential information.
- Develops, plans, and budgets on a strategic, tactical and operational level for and with each practice. Manages and monitors key financial and revenue cycle metrics, including Associate hours, resource allocation, expense budget, and patient volumes. Provides ad-hoc reporting to MWHC Leadership as requested.
- Manages referral of patients to appropriate use of specialty services as indicated.
- Maintains current knowledge of health care issues, standards of practice, CPT/ICD-9 codes and professional group activities to facilitate effective planning and management.
- Works in collaboration with MWHC Marketing and Communications to identify and implement promotional strategies to increase patient volume and distinguish MWHC Urgent Care Clinics from competitors.
Qualifications:
- Bachelor's Degree required.
- Minimum of three (3) years previous management experience in a clinical setting required.
- Minimum of two (2) years of electronic health record (EHR) experience required.
- Current healthcare professional level CPR certification required.
- Proficiency with common Microsoft application as well as other healthcare and management software.
- Familiarity with financial statements including profit and loss.
- In-depth understanding of the principles and processes of high-level customer service.
- Experience in developing and implementing Urgent Care center(s).
- Previous management experience in Urgent Care setting preferred.
- EPIC EHR experience.
- Certification as Urgent Care Professional preferred.
