Target hiring range for this position will be between $57,000-$70,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data

Job Summary:

The Program Enrollment & Communication Coordinator supports the full recruitment and admissions cycle for the Master of Science in Communication (MSC) program, providing high-quality operational and customer service support from prospect through matriculation. Reporting to the Assistant Director for Enrollment & Communications, this role manages the day-to-day administrative functions of the admissions process, maintains data integrity in the Slate CRM, assists in applicant communication, and coordinates recruitment and admitted student events.

The Program Coordinator also plays an essential role in executing the program's communication plan, including email campaigns, website updates, and social media content. The position requires strong attention to detail, responsiveness, and the ability to balance multiple priorities in a fast-paced environment while ensuring a professional, service-oriented experience for all prospective students.

Specific Responsibilities:

Admissions and Enrollment Operations

  • Manage day-to-day operations of the admissions and enrollment process, ensuring timely, accurate, and professional handling of applications and inquiries.
  • Monitor and respond to the MSC admissions inbox; triage inquiries to the Assistant Director or Director as appropriate.
  • Conduct applicant file reviews for completeness and initial screening and ensure all application materials are received and verified.
  • Assist with interview scheduling, applicant communications, and tracking of admissions decisions in Slate.
  • Monitor and update third-party application data (e.g., WES, ECE, TOEFL, IELTS) to ensure accurate integration with Slate and CAESAR systems.
  • Support the processing of activation codes, NetIDs, student IDs, and matriculation updates in collaboration with central University systems.
  • Track visa and onboarding progress for international admits, maintaining close communication with applicants to ensure timely completion of requirements.

CRM and Data Management

  • Serve as Slate Captain by providing system support for the MSC program. Ensure data integrity, workflow accuracy, and up-to-date applicant records.
  • Create, manage, and maintain queries, reports, and dashboards that support pipeline analysis and communication planning.
  • Assist in the creation and maintenance of automated email campaigns and event communication flows.
  • Ensure compliance with university data security and privacy policies and participate in periodic system audits.

Recruitment and Event Coordination

  • Coordinate logistics for recruitment, information, and admitted student events (both in-person and virtual), including scheduling, registration, and follow-up communications.
  • Create event registration pages and confirmation workflows in Slate; monitor attendance and engagement metrics.
  • Support the Assistant Director and Director in representing the program during preview days, webinars, and other recruitment events.
  • Provide day-of-event support such as managing check-in, audio-visual setup, and guest communications.

Marketing and Communications Support

  • Assist in maintaining and updating content on the MSC website, including event pages, news updates, and program information.
  • Draft and distribute program communications, newsletters, and email campaigns under the direction of the Assistant Director.
  • Collaborate with the student Communications Assistant to ensure consistent messaging and posting on social media channels.
  • Collect and organize content for program newsletters, blogs, and student features.

Administrative and Collaborative Support

  • Maintain organized records of admissions and marketing activities to support reporting and compliance.
  • Provide administrative support for the Assistant Director, including scheduling meetings, preparing materials, and tracking timelines.
  • Contribute to process improvement projects and assist with special initiatives that enhance the enrollment experience.

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications (Education, Experience, Certifications, Skills)

  • Bachelor's degree in communication, marketing, business, education, or a related field, or an equivalent combination of education and experience.
  • Minimum of two years of experience in higher education admissions, enrollment services, marketing, or program administration.
  • Demonstrated experience with Slate and other data management systems.
  • Strong organizational, customer service, and written communication skills.
  • Attention to detail, accuracy, and data integrity.
  • Strong project coordination and time management abilities.
  • Excellent interpersonal and cross-cultural communication skills.
  • Proficiency with Microsoft Office and web content tools (e.g., Content Management System, Mailchimp).
  • Ability to manage competing priorities and meet deadlines in a fast-paced environment.
  • Commitment to a student-centered approach.
