Occ Summary

Manage and coordinate overall administrative direction and coordination of the Operations Administration team involved in coordination of multiple inpatient units, support staff and daily operations of hospitals within Duke University Health System.



Work Performed

  • Manage and coordinate operations and administrative involved in coordination of multiple inpatient units, support staff and daily operations of hospitals within Duke University Health System.
  • Maintain visibility and open communication with front line hospital staff through rounds.
  • Coordinate triage activities through communication with the Emergency Department and other entry points for patients and inpatient units; assist in evaluating and reassigning staff during crisis situations.
  • Take corrective action in situations requiring immediate intervention, including interpretation of hospital policy, work rules, and quality of care issues.
  • Investigate patient and visitor concerns and implement appropriate course of action. Identify and evaluate actual or potential safety and risk management issues; intervene as appropriate; intervene and problem solve inter/intradepartmental issues as required.
  • Prepare operational reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions.
  • Monitor trends and assist in improving services by analyzing operating procedures; recommend cost effective and efficient solutions.
  • Plan and schedule work for the group ensuring proper distribution of assignments and adequate manning, space and facilities for subsequent performance of duties.
  • Collaborate with the Director of Clinical Operations to determine fiscal requirements of assigned unit(s) and prepare budgetary recommendations.
  • Monitor the level of resources utilized in service delivery and determine the appropriateness of resource consumption in the service.
  • Develop action plans in conjunction with the Director of Clinical Operations to ensure budget and resource efficiency, and satisfaction with patient care delivery.
  • Manage and coordinate administrative direction of the Operations Administration team.
  • Support and direct them in their involvement in the coordination of multiple inpatient units as they support staff and daily operations of hospitals within Duke University Health System.
  • Manage various personnel functions including, but not limited to, hiring, performance appraisal, promotions, transfers, and vacation schedules.
  • Maintain clinical competencies for assigned clinical areas.
  • Maintain required unit records, reports and statistics for administrative purposes, and ensure compliance with established hospital policies and procedures.
  • Determine fiscal requirements for the department and prepare budgetary recommendations; monitor, verify, and reconcile expenditure of budgeted funds.
  • Responsible for overall budget for administration and FTE management along with performance coaching for entire Operations Admin Team and Operations Center.



Minimum Qualifications

Education

Bachelor's degree in nursing is required. Master's degree in Hospital Administration, Business Administration, Nursing, or a related field is required.



Experience

Work requires a minimum of 5 years of progressively responsible experience in hospital administration or patient care within a large and complex healthcare organization. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE



Degrees, Licensures, Certifications

Must have current or compact RN licensure in the state of North Carolina. BLS certification is required.
