Job Description

Position Overview
This fully in-person position requires a professional, self-directed, and highly organized individual who excels at communication and coordination. The coordinator plays a vital role in supporting the Teaching for Learning Center by ensuring programs, services, and events run smoothly and align with an established mission and goals, priorities, timelines, and available resources.
The coordinator serves as a central point of connection between the Teaching for Learning Center team, shared services partners, and campus guests. Working within established processes and guidelines, this role helps maintain a welcoming, efficient, and high-quality experience for Mizzou educators and collaborators.
Our team has developed clear workflows and standards to support professional, consistent offerings, and this role is essential in sustaining and evolving those practices.

Key Responsibilities
1. Program and Event Coordination
a. Prepare physical and virtual spaces, materials, and technology for meetings, trainings, and events.
b. Create, manage, and monitor registration and feedback forms.
c. Coordinate logistics for sessions, including catering, room setup, and technology support (in-person and Zoom).
d. Track and monitor cohort participation and program attendance.
e. Support pre- and post-event communications, surveys, and reporting.
f. Compile and prepare basic reports related to registration, participation, and feedback.
g. Collaboration with student employees support of above.

2. Communication and Marketing Support
a. Monitor and manage the department email account.
b. Monitor and update the department website.
c. Prepare announcements, signage, and basic marketing materials.
d. Create and distribute mass email communications using the Dotdigital platform, under supervisor guidance.
e. Follow established event communication procedures to ensure timely and consistent outreach.
f. Communicate with guest hosts regarding event needs and logistics.

3. Operations and Administrative Support
a. Greet and assist all guests and patrons, ensuring a welcoming environment
b. Keep staff informed of scheduled activities and events in the center by hosting a weekly meeting.
c. Maintain marketing materials, supply inventories, (including books) and shared spaces.
d. Keep the catering kitchen and coffee bar clean, stocked, and organized.
e. Monitor, order, and reconcile operational and event-related purchases.
f. Maintain purchasing documentation and receipts.
g. Liaise with Shared Services for purchasing, scheduling, and administrative support.
h. Maintain familiarity with moderate on-site technology support (Zoom, Office 365 administration, CRM leverage, etc.)

4. Scheduling and Coordination
a. Create and monitor polls with internal and external stakeholders.
b. Assist with booking travel, maintaining records, and managing files.
c. Schedule space usage and coordinate guest technology needs.

5. Continuous Improvement and Support
a. Perform standard assignments using established procedures and recommend improvements for efficiency, resourcing, and service delivery.
b. Assist in the development and implementation of programs and projects with guidance from senior staff.
c. As scheduling volume increases, contribute to decision-making related to operational efficiency and effectiveness.
d. Recommend technology and process improvements that enhance program delivery.

6. Collaborative Engagement
a. Exchange concise and accurate information with staff, faculty, and guests to support meetings and events.
b. Develop and maintain productive working relationships with internal teams and external partners.
c. Provide general administrative and programmatic support as needed.
d. Perform other duties as assigned.

Shift

8:00 am - 5:00pm, M-F

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and 1 year of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

1 year minimum, 3 years preferred experience in event planning and customer service.

Anticipated Hiring Range

Salary Range: $20 - $25 per hour

Grade: GGS-008
