About the Department:


The Department of Psychology (https://psychology.gmu.edu/) boasts over 1,700 undergraduate majors (BS, BA), 330 graduate students (PhD, MA, MPS), and 50 full-time faculty. There are five graduate areas in the department: Cognitive & Behavioral Neuroscience, Clinical, Applied Developmental, Human Factors & Applied Cognition, and Industrial-Organizational. About the Position:


The Graduate Finance Administrator manages all aspects of graduate student financial support from the time of admission to graduation. Including Graduate Teaching Assistant and Graduate Research Assistant student assignments and hiring, tuition and health insurance benefits and scholarships. This role represents the department in graduate affairs matters across the University including at the College and Provost level, as well as the Office of International Programs and Services (OIPS).


Responsibilities:



  • Tracks and processes all scholarships and tuition grants on all non sponsored funds in excess of $ 50,000.00 annually and submit tuition waivers each semester in conjunction with student registration activity in excess of $900,000.00 annually;
  • Reconciles and resolves any issues with student accounts;
  • Performs tracking via Excel for any special recruitment scholarships to be submitted through Ellucian workflow and waivers submitted through college managed tracking tool. Approximately 160 students tracked annually by semester;
  • Coordinates distribution of dissertation and thesis funding as well as travel funding for students for conferences;
  • In conjunction with the the departmental course scheduler, makes all GTA assignments each semester to cover the required teaching of UG labs and courses as well as advising roles. Processes and tracks all graduate GTA and non sponsor funded GRA assignments and contracts. Provides input and guidance to the Chair and Assoc. Chair of Graduate studies for award of departmental dissertation completion awards;
  • Performs all onboarding, and contract creation for all departmental funded graduate students as necessary each semester. Hiring actions either submitted through HR upload managed by the college or through hiring action entered into the college specific hiring tool;
  • Uploads all contracts to sharepoint drive for reconciliation. Over 400 assignments for approximately 160 students tracked and reconciled across the academic year and summer semester. In excess of $1.7M annually;
  • Monitors and submits all Presidential and GIA renewals. Each of these funding sources has a separate process and tools for use provided by the Graduate Education office. Students are evaluated for eligibility and compliance by Graduate Finance Administrator and renewal requests are submitted for approval;
  • Tracks and ensures graduate GA benefit eligibilty each semester for in state tuition and subsidize health insurance;
  • Researches and resolves any issues that arise for compliance engaging the appropriate office across the University;
  • Provides all graduate student credentialing documentation to the college, including tracking GTA training and International student GTA language testing;
  • Tracks all incoming students for compliance on Provost Graduate Education office required training for GTA's and additional training required for International students funded as GTA's;
  • Tracks and monitors progress of all students who attend required departmental GTA training;
  • Provides assistance to Chair and Associate Chair for Graduate studies for cohort planning based on annual graduate funding allocation; and
  • Creates and sends all admissions offers of financial support for PhD packages and MA out of state tuition awards for all five academic programs in Psychology. This work is done in the salesforce admissions tool, in conjunction with the Graduate Program Administrator and the 5 Program Directors and MA Program directors. Approximately 30-40 offers sent during the admissions cycle. These are tracked for acceptance and implementation via Excel. Provide necessary documents for international students for application for I-20.


Required Qualifications:



  • Bachelor's degree in related field or the equivalent combination of education and experience;
  • Experience of strong interpersonal and communication skills and the demonstrated ability to work effectively with a wide range of constituencies in a diverse community;
  • Demonstrated experience in financial management;

  • Strong organization and coordination skills;
  • Knowledge of MS Word, Excel; and
  • Knowledge of financial management.


Preferred Qualifications:



  • Master's degree in related field;
  • Demonstrated experience performing complex duties in a higher education setting is preferred; and
