Job Summary:
The Kellogg School of Management at Northwestern University offers several distinct entrepreneurial paths for our MBA students through our Entrepreneurship at Kellogg program (ENTR), including the Zell Fellows Program which is a co-curricular program for the most committed of Kellogg student entrepreneurs.
Reporting to the Administrative Director, Entrepreneurship, the Business Coordinator will be primarily responsible for executing the financial transactions for the Zell Fellows program but will also support other smaller departmental programs with their financial transactions and other administrative support as needed. This role requires strong time management, communication skills, attention to details, and the ability to effectively prioritize assignments. The Business Coordinator works autonomously within defined university guidelines but must effectively collaborate across the ENTR team to ensure the programs' financial reporting, client experience, and operational excellence are met.

Work is reviewed upon completion & only occasionally to verify technical accuracy & compliance with practice, policy, & procedures. EE informs supervisor of on-going progress &/or potentially controversial matters.
Specific Responsibilities:
Budget & Financial:
- Directly responsible for payroll, purchasing, travel & entertainment (T&E) transactions & requesting new chart strings using NU protocol.
- Provides review and oversight of all types of financial transactions some of which may be complex in regard to size or duration
- Prepares student and faculty expense reimbursements.
- Ensures prompt payment of invoices, researching errors/delayed transactions.
- Reviews; ensures approval based on alternatives regarding practice & policy; analyzes and classifies transactions in accordance with established chart or coding of accounts; creates new accounts; prepares, processes, reconciles & provides receipts (as appropriate) for transactions.
- Troubleshoots problems; performs vendor/account research as needed; obtains additional information from or provides instruction & guidance for customers/vendors; corrects or escalates.
- Accesses multiple banking systems to process transactions, retrieve information, &/or initiate wire transfers.
- Monitors open encumbrances & deficit chart strings.
- Level I & II NU Financials approver.
- Reviews & reconciles actual expenses to budget per NU Audit guidelines.
- Approves funds reallocation within budget as necessary & appropriate.
Faculty & Student Support:
- Arranges faculty and/or student travel planning.
- Manages student funding.
- Resolves student issues related to the Zell program as needed.
Regulatory Compliance:
- Ensures compliance with all applicable federal, state, local & NU laws, regulations, policies & procedures.
- Develops innovative methods to assist faculty & staff with adherence to compliance programs.
- Provides financial policy interpretation to determine the validity of customer requests & ensure compliance.
Administration:
- Administers & maintains existing operation plans as related to financial transactions.
- Recommends changes & improvements to administrative operations to ensure most effective & efficient use of revenue streams for dept.
- Performs general office support activities as assigned
Supervision:
- Supervises 1-2 student and/or work study staff.
- Assists with training new staff members.
Miscellaneous
Perform other duties as assigned.
Minimum Qualifications:
Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree in a major such as business, accounting or related; OR appropriate combination of education and experience.
1 year administrative experience including budgets, finance, grants, facilities, &/or human resources; or other relevant experience.
Minimum Competencies: (Skills, knowledge, and abilities.)
Excellent computer skills including proficiency in the use of spreadsheet, database and word processing software.
Detail-oriented, efficient and focused on accuracy
Familiarity with financial reporting.
Ability to learn and utilize new platforms.

Target hiring range for this position will be $58,025.70 - $61,638.36 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
