Job Description

Legal Assistant


Location: Houston, TX (onsite)


We're looking for a detail-oriented Legal Assistant to support our Legal Department with administrative, document management, and operational tasks. This role assists attorneys and legal staff with preparing standardized agreements, managing legal records, supporting bid documentation, and coordinating legal communications across departments such as Sales, Credit, and Environmental Compliance.


Key Responsibilities




  • Prepare and process standardized agreements, including drafting, distributing for signatures, and filing.



  • Organize, scan, and maintain legal documents in electronic and paper filing systems.



  • Assist with bid forms and vendor registration documentation.



  • Manage the Legal Department inbox and respond to routine inquiries.



  • Answer and route incoming calls to the appropriate legal staff.



  • Track letters of credit and guarantee agreements and coordinate renewal reminders.



  • Support environmental and regulatory compliance documentation.



  • Coordinate incoming and outgoing legal mail.



  • Provide administrative support and assist with legal projects as needed.




Qualifications




  • 3+ years of administrative experience in a corporate office environment.



  • Experience supporting legal, compliance, or corporate administrative functions preferred.



  • Strong organizational skills and attention to detail.



  • Ability to handle confidential information with discretion.



  • Proficiency in Microsoft Office (Outlook, Word, Excel).



  • Experience with document management systems (e.g., OnBase) or SAP preferred.



  • Notary Public certification preferred or willingness to obtain.




Schedule: Monday-Friday, 8:00 AM - 5:00 PM (occasional overtime may be required).
