Repair and Maintenance Analyst

POSITION SUMMARY:
The Repair and Maintenance Analyst manages maintenance/energy management service programs for all FedEx Office centers. The role provides the best combination of quality, price, delivery and service for FedEx Office branch locations by analyzing vendor performance to best support the centers. The analyst also manages warranty and preventative maintenance claims and coordinating with FedEx Office centers, vendors, landlords and other FedEx Office personnel.

GENERAL DUTIES AND RESPONSIBILITIES:

  • Manage day to day coordination of external and internal vendors/partners
  • Track project costs and R&M expense costs to ensure compliance with budgets
  • Partner with other departments (Real Estate, Lease Admin, Construction) on maintenance and warranty issues that can be avoided or need further investigation
  • Troubleshoot and expedite maintenance requests
  • Ensure compliance to internal standard operating procedures and best practices
  • Analyze quotes for accuracy and adherence to approved costs, and ensure that costs are substantiated with documentation for services rendered. Negotiate pricing with vendors when proposed cost or scope is unreasonable. Sign and approve quotes.
  • Instill cooperation and gain the ability to persuade vendors to meet or exceed FedEx Office expectations
  • Ensure negotiations with contractors and vendors are performed ethically with the best interest of FedEx Office in mind
  • Identify and evaluate problems and common causes relating to equipment failure, malfunction, or misuse so that appropriate action can be taken to minimize expenses
  • Maintain all maintenance/energy programs and schedules
  • Coordinate with branch personnel on repair and preventative maintenance scheduling and follow up on repair inquiries received to ensure satisfactory completion
  • Maintain centers physical appearance to meet or exceed FedEx Office expectations
  • Analyze vendor performance and initiate/recommend corrective actions to improve performance, when necessary
  • Maintain on call status 24 hours/7 days a week to handle after hours maintenance escalations
  • Review leases to determine if required repairs are landlord responsibility
  • All other duties as needed or required

MINIMUM QUALIFICATIONS AND REQUIREMENTS:

  • Bachelor's Degree, related field or equivalent experience required
  • 1+ year of experience with retail maintenance/energy programs or related field
  • Basic understanding of construction, maintenance, energy, or related fields
  • Project management skills, strong organizational skills, excellent business savvy and vendor negotiation skills
  • Familiarity with repair/maintenance/energy management concepts for a variety of building components/systems, including, but not limited to, HVAC, electrical, lighting, plumbing, signage, fire extinguishers, floor care, emergency fire protection systems preferred

  • Ability, on a consistent basis, to function in a fast-paced environment, under substantial pressure
  • Ability, on a consistent basis, to work within the appropriate level of independence
  • Ability, on a consistent basis, to report regularly to work and maintain established business hours in order to support the FedEx Office business; regular attendance and/or reporting could include regular attendance at a physical location and/or maintaining established business hours depending on the scope and nature of the position
