Job Description:
- The Department is looking for staff to assist with the processing and management of applications within its Health Workforce Incentive Unit. The unit administers a variety of programs on behalf of the Virginia Department of Health to attract primary health professionals to Virginia.
- Some of these initiatives help reduce medical education debt via loan repayment. Loan repayment awards are competitive and often prioritized for those serving in Virginia's most underserved regions, with funding dedicated solely to repaying educational loans tied to health professional licensure.
- As a workforce coordinator, you will be expected to serve as a key point of contact for potential applicants, helping them understand which incentive may be right for their situation and how to best apply. You will help them navigate application guidelines and work with your colleagues to improve application processes as needed.
- You will also ensure that applicants' service obligations are met and documented. Attention to detail, proficiency with Microsoft Excel, and pride in offering excellent customer service are a must. Experience with SharePoint, Power Bi, REDCap, and customer management software preferred.
Role & Responsibilities:
- Provide technical assistance and guidance to applicants and participants throughout the application and service term.
- Review and process applications for: Loan Repayment Programs, Nursing Scholarships, and Preceptor Incentive Program, J-1 Visa Waiver Programs
- Communicate with applicants, healthcare providers, academic institutions, and the public via phone, email, and Microsoft-supported platforms.
- Maintain accurate records of service obligations and ensure timely follow-up and compliance reporting.
- Collaborate with team members to develop, improve, and implement new or existing incentive programs.
- Notify applicants of award decisions and generate related correspondence (e.g., reports, letters, memos).
- Serve as the primary point of contact for applicants and stakeholders.
- Track and report weekly progress and key performance indicators for assigned programs.
- Perform other duties and special projects as assigned.
- Occasional travel may be required.
Required Education and Experience:
- Associate or bachelor's degree in public health, Health Administration, Public Administration, or a related field.
Minimum of 3 years of administrative and/or project management experience.
Proficiency in Microsoft Excel and data management systems.
Knowledge, Skills, and Abilities (KSAs):
- Strong oral and written communication skills; ability to explain program requirements clearly and professionally.
- Highly organized with excellent time management skills; adaptable to change.
- Ability to manage multiple projects and track data accurately.
- Experience with Microsoft SharePoint, REDCap, and customer management software preferred.
- Ability to work effectively with diverse populations, including healthcare providers, academic institutions, and government officials.
- Sound decision-making skills and the ability to analyze data and identify programmatic gaps.
- Familiarity with healthcare recruitment and retention programs is a plus.
