We have an opportunity at our corporate offices in Chicago for an Operations Specialist II (Hybrid) on our Physician Satisfaction team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 days a week in the office.
This role is responsible for
executing core business processes that span the Professional Satisfaction (PS)
group. Ensures that decisions related to budgeting, hiring, contracting,
planning, and reporting are carried out smoothly and consistently. Provides
operational visibility through metrics tracking and responsible for project
management to support cross-functional work led by Product, Activation, and
Program leaders.
RESPONSIBILITIES:
Business Operations
- Support the VP and team leaders in translating unit priorities into operating budget forecasts, manage compliance with AMA Finance and Content Strategy & Operations
- Team budget protocols, track actuals against projected expenses, and make recommendations when budget reallocation is required.
- Collaborate with team leaders on vendor selections, serve as MPOC between the AMA and vendors, prepare contract proposals, and coordinate stakeholder input on vendor selection and approvals.
- Coordinate with HR and Finance to support hiring workflows and role approvals.
- Ensure core operational processes are completed accurately, efficiently, in compliance with AMA policies, and on schedule.
- Maintain timelines, artifacts, calendars, and documentation for planning, review, and reporting cycles.
- Manage the CRT process and approvals for the Organizational Biopsy and Joy in Medicine programs, as well as any future activation offerings.
Metrics Tracking and Reporting
- Maintain team-wide metrics tracking and operational dashboards.
- Compile and distribute regular updates on budgets, hiring status, and key initiatives.
- Maintain documentation to support audits, reviews, and enterprise reporting needs.
- Flag execution risks, delays, or gaps through data tracking and reporting.
- Provide leaders with accurate, timely operational information to support decision-making.
Project Management
- Provide project management support to cross-functional initiatives led by Product, Activation, and Program teams.
- Translate leadership team decisions into clear tasks, timelines, and dependencies.
- Track progress, risks, and handoffs across workstreams.
- Support follow-through and coordination across teams.
May include other responsibilities as assigned
REQUIREMENTS:
- Bachelor's degree preferred or equivalent work experience and HS diploma/equivalent education required
- 3+ years of experience in business
- Strong communication and coordination skills and the ability to manage workflows, track progress, and support project execution across teams
- Demonstrated experience managing budgets required.
- Outstanding attention to detail and accuracy when handling budgets, contracts, hiring artifacts, and reporting inputs.
- Ability to translate decisions and direction into clear tasks, timelines, and documentation.
- Ability to work across functions and stakeholders, coordinating handoffs and resolving dependencies while maintaining confidentiality and trust.
- Strong written and verbal communication skills, including the ability to produce concise updates and maintain clean documentation.
- Strong organizational and follow-through skills, with the ability to manage multiple operational workflows simultaneously.
- Basic data literacy, with the ability to track metrics, interpret dashboards, and flag risks or inconsistencies.
- Demonstrated experience working in spreadsheets, presentation tools, and project tracking software.

This role is an exempt position, and the salary range for this position is $74,160-$98,318. This is the lowest to highest salary we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration and geographical location, as well as candidate qualifications, such as skills, education, and experience.
