WORK ASSIGNMENT DETAILS

Waukesha County's Department of Health & Human Services is recruiting for a talented Administrative Assistant to work in its Centralized Records (HIM) Unit at the Human Services Center. This position is primarily responsible for maintaining, scanning, and auditing Electronic Health Records (EHR), paper-based records and other records at the Waukesha County Department of Health & Human Services. This position will also assist internal and external clients/patients as it relates to obtaining records.

SPECIFIC DUTIES OF THE POSITION:

  • Greets and assists customers, in person, by telephone or other methods to provide information, answer questions, or directs to appropriate staff
  • Previous health information records experience specific to file protocol, content management and general medical terminology (Will consider current students or graduates from a Health Information Technology program)
  • General understanding of state and federal regulations concerning mental health and AODA medical records as well as other types of records
  • Thorough understanding of HIPAA regulations as they relate to the confidentiality of medical records
  • Experience with or exposure to electronic health records.
  • Knowledge of release of information processes
  • Ability to file medical records and loose filing according to pre-determined chart order and filing method
  • Ability to order supplies for the Records unit
  • Ability to create labels for creation of paper-based Records
  • Ability to complete specific tasks related to the merging of duplicate medical records
  • Ability to retrieve and store records in a file room and move or transport banker boxes within the records unit
  • Ability to use Microsoft Word, Excel, Outlook
  • Ability to provide feedback/recommendations to improve processes of your workflows/duties
  • Excellent verbal and written communication skills
  • Ability to work independently as well as on a collaborative team
  • Ability to work in a confidential work environment
  • Possess critical thinking and problem-solving skills
  • Ability to establish and maintain effective working relations

Minimum Training & Experience Requirements
1. High School Diploma or GED.
