We have an opening for an Executive Assistant in Fergus Falls, MN. This role exists to protect, multiply, and extend the impact of executive leadership by ensuring transactional work is executed flawlessly, transitional work is managed intelligently, and executive attention remains focused on transformational priorities. We seek an experienced professional who understands how businesses operate, anticipates needs before they surface, and exercises sound judgment on behalf of senior leaders. The successful candidate will support two or more executives by owning the systems, rhythm, and flow of work that allow them to focus on strategy, people, risk, and long-term outcomes. The person in this role will act as a trusted gatekeeper, information integrator, and operational partner, bringing clarity and structure to a complex, fast-moving environment. This role owns the following transactional work. End-to-end calendar management, serving as the single intake point for all meeting requests. Scheduling and logistics for 1: 1s, leadership meetings, site visits, and annual reviews. Expense reports, credit card reconciliations, timecard approvals, and administrative compliance. Inbox and mail management, including appropriate delegation and follow through. Meeting preparation and follow up, including agendas, materials, documentation, and action tracking. This role manages or coordinates the following transitional work. Preparing executive-ready materials for leadership meetings, Board updates, and operating reports. Coordinating cross-functional inputs such as Key Performance Indicators, Key Risk Indicators, strategic updates, contracts, and reports. Supporting performance processes (annual reviews, development plans, documentation, HR coordination). Monitoring onboarding of new leaders and ensuring early executive engagement. Maintaining structured tracking tools and documentation (e.g., One Note, Teams). Executive attention remains focused on transformational priorities when the person in this role anticipates upcoming decisions, risks, and inflection points; preserves uninterrupted focus time for executive strategic work; acts as an extension of executive judgment in routine matters; and continuously improves executive office practices, cadence, and information flow. Requirements include demonstrated experience supporting senior leaders in a complex organization; exceptional judgment, discretion, and commitment to confidentiality; business acumen and ability to quickly understand operational priorities; outstanding written and verbal communication skills; advanced proficiency with Microsoft Outlook, Word, Excel, Power Point, One Note, and Teams; and the ability to manage competing priorities with calm, clarity, and confidence. Preferences for the successful candidate include comfort acting as a proxy for executives on agreed upon matters, experience coordinating strategic planning or cross-functional initiatives, and a continuous improvement mindset.
