Duties and Responsibilities
SUMMARY OF POSITION:
Responsible for organizing and managing the daily workflow at the Loyola School of Nursing School-Based Health Center ( SBHC) at Proviso East High School in Maywood, IL. Duties include scheduling providers, registering and scheduling patients, and following up on referrals. The role requires organizing, maintaining, and securing patient medical records; ensuring proper coding of encounter data; and entering patient data into the electronic medical record. The position also assists with tracking data for quarterly and annual statistical reports. Under the guidance of the Clinical Manager, the staff member monitors and assists with tracking and ordering medical, laboratory, and office supplies and maintains all aspects of the CLIA laboratory. The staff member assists providers with patient care, including rooming, obtaining vital signs, administering vaccinations, and drawing/obtaining laboratory specimens. Additional responsibilities include participating in CQI activities, serving as the SBHC receptionist, and actively engaging in project initiatives that foster positive relationships with PEHS students and school personnel.

RESPONSIBILITIES (clinical and academic):

  • Organize and monitor daily workflow in the SBHC, including scheduling providers; registering and scheduling patients; appointment reminder messaging; follow-up on all referrals and coordination of patient care.
  • Organize and maintain patient medical records. Review the medical record after each encounter to ensure proper coding for billing purposes. Enter patient data into the electronic medical record. Assist with data collection for quarterly and annual statistical reports.
  • Under the supervision of the Clinical Manager, monitor and order medical, laboratory, and office supplies, and maintain accurate records. Stocks and maintains the cleanliness of examination rooms and the reception area.
  • Under the direction of the Clinical Manager, maintain all aspects of the CLIA-certified laboratory, including adhering to protocols, specimen integrity, transportation, and reporting systems to providers and the Illinois Department of Public Health.
  • Assist providers in patient care activities, including obtaining vital signs and laboratory specimens, administering prescribed medications and vaccinations as ordered by the physician or nurse practitioner, chaperoning and/or assisting patients and providers during examinations and routine procedures, and contacting no-show patients to improve appointment attendance and follow up on referrals.
  • Participate actively in CQI activities to improve SBHC services.
  • Serve as receptionist and initial point of contact for the SBHC. Participate actively in SBHC health promotion programs that support the well-being of PEHS students.
  • Other duties as assigned.

Minimum Education and/or Work Experience
Minimum Education:

  • High School Diploma or GED
  • Certification as medical assistant (CMA) required.
  • Maintenance of current CPR certification.


Minimum Experience:
  • 1-2 years of job-related experience
Qualifications

  • Fluency in both spoken and written English and Spanish.
  • Excellent interpersonal and organizational skills.
  • Ability to work effectively with adolescents and their families.
  • Basic understanding of medical coding and billing.
  • Proficiency in documenting within an electronic medical record.
  • Completion of the annual Vaccines for Children Program training and other clinic-mandated annual trainings.
  • Familiarity with HIPAA requirements for confidentiality.

Certificates/Credentials/Licenses

  • Certification as medical assistant (CMA) required.
  • Maintenance of current CPR certification.
