| Job Description Summary |
The
Executive Assistant (EA) for Student Experience oversees operations of the Dean of Students office and provides administrative support for the Associate Provost for Student Experience and members of the Dean of Students suite, which serves as a hub for providing support for the following areas: Residential Life and Community Standards, Student Engagement and Leadership, First-Year Experience, Prevention and Education, and Title IX. The EA is an essential member of the team in providing support and taking initiative across a wide range of office management functions that serve students. The EA is responsible for leading the efficiency of day-to-day operations.
A successful candidate will have a strong ability to build relationships, work independently, be thorough and thoughtful, be detail-oriented, and balance a workload that ebbs and flows. The EA is a professional who doesn't mind wearing multiple hats and working in a variety of office settings that directly interface and serve students. |
| Essential Functions |
Office Management
- Provide exceptional customer service and serve as a point of contact for incoming calls and visitors for all staff in the Dean of Students suite of offices and Residential Life.
- Provide direct, high-level administrative support to the Associate Provost for Student Experience.
- Maintain calendars and schedules, coordinate appointments, and assist with meeting logistics and preparation for the Associate Provost, as well as others in the suite of offices and areas that are part of the Student Experience portfolio.
- Manage overall suite operations (e.g., maintain the office supply inventory; reorder when necessary; sort and distribute mail).
- Organize and maintain the cleanliness of several shared spaces of staff & students.
- Oversee department emails and triage as needed (e.g., Student Engagement & Leadership and Residential Life).
- Draft and prepare various correspondence and reports for the Associate Provost, and serve as the recording secretary for meetings as requested.
- Supervise LifePrep student workers and create a weekly plan that includes meaningful tasks that promote self-advocacy and social skills.
Budget and Human Resource Management
- Monitor budget needs and expenditures, including operating, capital, non-recurring, and professional development/travel expenses for all areas.
- Manage P-Card and van sign-out for residential life and student clubs/organizations.
- Reconcile monthly P-Card statements for all areas (Residential Life and Community Standards, Student Engagement and Leadership, First-Year Experience, Prevention and Education, and Title IX) and organize receipts.
- Recruit, hire, and supervise student workers for the Dean of Students' office, if applicable.
- Assist Student Engagement & Leadership with club deposits.
Data Entry Management
- Collects and oversees data and records for numerous processes, including S.O. A. R @Naz, New student orientation program (groups), student leader hiring, etc.
- Assists with student conduct and Title IX case management, including planning and scheduling conduct board hearings.
- Assists with the execution of student compliance trainings related to Harassment and Discrimination, Alcohol and Other Drug, and Hazing.
- Serves as note taker for NazCares and WellBeing Collective.
Program Management
- Coordinate reservations in 25Live for all areas (Residential Life and Community Standards, Student Engagement and Leadership, First-Year Experience, Prevention and Education, and Title IX) as needed.
- Special event support and programming logistics (e.g., orientation, move-in, housing selection, Springfest, Midnight Breakfast, and NazWow, Chapel reservations) for all areas as needed.
- Assist with planning of staff and divisional retreats/professional development activities.
Miscellaneous
- Work on special projects that support the work of the Student Experience portfolio and students.

- Associate's degree
- Proficient in MS Office Suite, Google Applications, and standard office equipment
- Demonstrated excellent customer service skills.
- Able to manage in a fast-paced environment with competing and changing priorities.
- Must be highly organized and efficient; able to offer creative solutions to administrative problems as they arise.
- Exceptional organizational skills and the ability to attend to and prioritize projects.
- Ability to successfully manage interpersonal working relationships. As appropriate, collaborate with staff across other units and divisions to achieve the University's goals.
- Strong written and verbal communication skills.
- Handles confidential information sensitively and appropriately.
- Enjoys working in a fun and positive office setting.
