Job Title: Administrative Assistant FLSA Status: Full Time - non-exempt Reports to: Divisional Director of Social Services Schedule: M-F 8:00-4:30 PM Rate of Pay: $32.22 hourly Closing Date: 4/30/2026 Benefits: Standard; Full-Time, Non-Exempt employees are eligible for but not limited to the following:

- Sick leave benefit - 1 day per month, 12 sick days per year (accrual and availability begins at hire)

Position Summary The Social Services Administrative Assistant provides administrative and program support to The Salvation Army Intermountain Division's social service programs. This position plays a key role in supporting staff and clients while advancing The Salvation Army's mission to meet human needs without discrimination. The ideal candidate demonstrates strong organizational skills, professionalism, and a compassionate, service-oriented approach when working with individuals and families experiencing hardship. Duties and Responsibilities
- Provide administrative support to social service leadership, case managers, volunteers, and program staff
- Answer and direct phone calls, respond to emails (including SAHelp.org), and manage general office communications
- Schedule appointments, meetings, and maintain program calendars
- Maintain accurate files, notes, and program documentation in compliance with confidentiality standards and Salvation Army policies
- Support data entry, reporting, and tracking of program outcomes and service metrics
- Prepare correspondence, reports, and internal documents
- Perform financial data entry related to program expenses, client assistance, invoices, and reimbursements
- Track, organize, and maintain financial documentation to support grant-funded programs
- Assist with monitoring grant contracts, including tracking deliverables, reporting deadlines, and required documentation
- Maintain office supplies, records, and filing systems (electronic and paper)
- Assist with special projects, seasonal services, and program events as needed
- Work collaboratively with staff and volunteers to ensure effective service delivery
- Other duties as assigned
Education/Experience, Skills, Qualities, Requirements
- High school diploma or equivalent required; associate degree or relevant coursework preferred
- Minimum of 1-3 years of administrative experience, preferably in social services, nonprofit, or human services environments
- Strong organizational, time management, and multitasking skills
- Proficiency in Microsoft Office, Google Workspace, and/or database or case management systems
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information with discretion
- Demonstrated ability to work respectfully with diverse populations
Preferred Qualifications
- Experience working in a faith-based or nonprofit organization
- Familiarity with social service programs such as housing assistance, emergency services, behavioral health, or family services
- Bilingual or multilingual abilities (preferred)
- Experience with data tracking and reporting

Requirements
- Driving
- The employee must be 21 years old at minimum (for insurance provision) and possess a valid in-state driver's license
- An MVR will be processed every year in accordance with The Salvation Army's policies
- Background Check
- Continued employment will be contingent upon a biennial (every two years) background check that is processed in accordance with The Salvation Army's policies
- Physical
- Ability to maneuver, to remain in a stationary position, to grasp, push, pull, and reach overhead, to lift 25 pounds, to access and produce information from the computer, to operate telephone, to understand written information
