Job Title: Subawards Specialist

Department: Finance - National Programs

Reports to: Subawards Manager

Location: Remote

Schedule: 9:00 am - 5:00 pm (EST)

Salary Range: $36.92 - $55.11

Position Overview:

The Subawards Specialist will assist the Subawards Manager with providing overall subaward quality assurance and management expertise across the 988 portfolio. This position will provide expertise and technical guidance from pre-award phase to close-out of subawards, including the development of select strategic subaward funding operations.

Duties/Responsibilities:

  • Maintains Subawards/Subrecipients tracking spreadsheet; follows up on subaward agreement renewals and RFPs; prepares FFATA reporting for federal agreements; maintains Subawards/Subrecipients files.
  • Prepares reports for Subawards Manager to review: Prepares advanced account spending worksheet, AR Aging Reports, Close Out spreadsheet, disbursement summary and provides monthly end date reports.
  • Subrecipient performance: assists with the review and evaluation to provide feedback on subrecipients monthly financial and technical reports to ensure accuracy, completeness and timeliness.
  • Serves as the primary point of contact for subrecipients, responsible for reviewing budgets, budget justifications, and monthly invoices providing guidance to ensure compliance and accuracy.
  • Close Outs: Prepares close out checklist for closed cost centers and reviews with Subawards Manager. Processes final close out journal entries. Prepares and maintains Close Out spreadsheet.
  • Providing customer service: Works through/with the Subawards Manager on any items that require communication with our teams.
  • Other responsibilities: May participate in audits; performs other duties as assigned.

Required Skills/Abilities:

  • Advanced proficiency with Excel, Office, and other software related to project management systems.
  • Excellent communication and interpersonal skills;
  • Ability to establish productive and collaborative relationships with all levels of staff;
  • Ability to navigate complex decision-making involving multiple stakeholder groups; Great judgment and effective and creative leadership ability;
  • Ability to quickly absorb complex, technical documents and brief the Executive team; Attention to detail and excellent organization skills;
  • Ability to take initiative, problem-solve, prioritize duties, and balance competing priorities while paying close attention to detail, meeting deadlines, and working well under pressure.

Decision Making:

Identifies multi-faceted problems affecting achievement of goals and provides solutions. Decisions may require consultation with internal and external stakeholders.

Scope of Responsibility/Accountability:

Supports subaward programs/projects, assists Subawards Manager in implementing work plans and objectives, and monitors interim results.

Managing/Directing Work:

Manages own task list with minimal supervision and collaborates with the Subawards Manager for guidance.

Required Qualifications:

  • Bachelor's Degree in public health, policy, business or comparable experience;
  • 2+ years of experience working on subawards;
  • Understanding of Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards;

Physical Requirements:

  • Must be able to remain in a stationary position 50% of the time.
  • Will constantly operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Will frequently communicate over video calls with internal and external stakeholders to provide status updates and potential roadblocks.

We determine base pay through a comprehensive review of skills, experience, education, certifications, geographic location, and other relevant factors. The range listed reflects the compensation parameters for the role and does not represent the full compensation package.
