Culture, Engagement & Wellness Coordinator. In this high-impact role, you'll amplify our culture by crafting firmwide communications, coordinating mentoring programs, supporting wellness committees, tracking budgets and program metrics, and helping bring wellness and inclusion initiatives to life across the firm. Key Responsibilities Include: - Draft, format, and distribute routine and ad hoc communications (new hire welcomes, newsletters, program materials, and firmwide emails). - Monitor and manage shared inboxes for the Diversity Partners, Mentoring, Culture & Engagement Sponsorships and Well Ahead accounts. - Coordinate sponsorship logistics, including tracking deliverables, processing payments, and ensuring alignment with internal stakeholders. - Track and monitor Firm Citizenship Policy hours to ensure accurate recording; prepare follow-up emails for the Director of Culture, Engagement & Wellness to address associates who are not in compliance. Serve as a point of contact for questions regarding the policy. - Maintain and regularly update intranet pages, holiday calendar, and internal resources for accuracy and consistency. - Provide comprehensive administrative support for Well Ahead Committee and Champions, including scheduling meetings, coordinating events, preparing materials, and taking/distributing notes. - Track and reconcile Wellness and Culture & Engagement budgets and expenses. - Organize, maintain, and standardize department files, documentation, and shared drives. - Help coordinate recurring reports and deliverables. - Conduct basic research and maintain organized resources on wellness best practices. - Attend meetings to document discussions, track action items, and follow up on next steps. - Provide administrative support to firm mentoring and advisor programs, including identifying new hires who should join the programs, facilitate the annual matching process, and coordinate logistics for any in-person events. - Monitor mentoring program participation levels; send follow up emails as needed; solicit feedback from program participants. - Prepare draft talking points and/or presentation slides regarding the various mentoring programs. - Assist with the program set-up and changes in the software platform; monitor user licenses. - Update the central tracking spreadsheet of associate mentoring assignments. - Manage calendars, schedule meetings, and coordinate logistics for the Culture, Engagement and Wellness Director. - Process and track payment requests and reimbursements in a timely and accurate manner. - Maintain and organize shared systems (drives, OneNote, tracking documents) to ensure accessibility and consistency. - Coordinate and track ongoing projects, ensuring deadlines, deliverables, and follow-ups are completed. - May be requested to perform other duties not mentioned above. What we're looking for: - High School diploma or G.E.D. equivalent. - At least 2 years of related experience. - Demonstrated commitment to inclusion and related workplace issues. - Strong oral and written communication skills. - Strong attention to detail and ability to organize and maintain records. - Ability to work independently under pressure, prioritize tasks, and meet deadlines without error. - Ability to maintain confidentiality with information. - Ability to work effectively with all levels of personnel. - Strong customer/client service focus. - Proficient in Microsoft Office (Word, Excel, Outlook). Preferred: - Bachelor's degree. - Project management experience. - Previous experience working in Human Resources, law firms, and/or in a professional services organization. - Demonstrated knowledge in Culture, Engagement, Inclusion, and Wellness.
