Job Summary

Coordinates and performs logistics and material management in support of designated projects, including shipping/receiving, inventory control, and tracking. Executes equipment commissioning, configuration, and deployment readiness activities, and maintains accountability for license and warranty compliance to ensure audit readiness and contractual alignment.

  • Partners with operations and project teams and participates in project kick off/status update meetings to identify and communicate logistical services needs to ensure appropriate readiness levels.
  • Participates in developing project related logistical requirements for proposal and project planning efforts. Maintains records related to project estimates.
  • Collaborates with project lead to provide support for tracking project related material movement and customer communications.
  • Provides material and equipment needs planning in accordance with project requirements and university policies.
  • Manages and maintains inventory database systems and audit activities including inventory cycle counts, logs adjustments, and reconciliations, and routine/ADHOC reporting in accordance with defined schedules and needs.
  • Collaborates with project leads providing support for technical assistance/annual gear review and makes recommendations to the government customers for course of action for future activities.
  • Collaborates with project leads to ensure DPAS/GOLD systems are maintained in accordance with government customer requirements.
  • Oversees and coordinates shipping and receiving activities for projects (parcel post, express, freight/cargo, etc.), including delivery acceptance, damage inspection, Bill of Lading (BOL) preparation and review, shipment and transfer documentation, disposition tracking, and status communication to project stakeholders. Ensures all receiving documentation complies with applicable contract and legal requirements.
  • Oversees and carries out compliance of shipping and handling regulations/requirements for dangerous goods/hazardous materials (domestic and international) U.S. Code of Federal Regulations, Title 49 (CFR 49), International Air Transport Association (IATA), and International Traffic in Arms Regulations (ITAR).
  • Partners with accounting/finance and contracts administration for disposition and classification of received materials and equipment (real property, consumable, government furnished equipment, etc.), as well as tagging/tracking of government furnished equipment (GFE) and FIU assets.
  • Oversees Unique Identifier (UID) requirements and maintains UID system and materials.
  • Identifies vendors for project shipment needs (parcel post/express/freight/cargo) and establishes service agreements as needed.
  • Performs Risk Management Agency (RMA), and/or various tracking, communication and troubleshooting tasks for issues. Coordinates and tracks work orders, repairs, and maintenance.
  • Performs coordination and execution of equipment and/or materials location movement, and shipping preparation using warehouse tools such as pallet jack, forklift, and wrapping/strapping equipment.
  • Coordinates equipment repairs, and replacements with vendors and stakeholders, ensuring timely resolution and adherence to warranty terms and conditions.
  • Performs hands on logistical tasks and project delivery support as needed.
  • Coordinates and actively supports equipment commissioning activities in collaboration with Subject Matter Experts (SMEs), including configuration, inspection, functional testing, validation, and documentation to ensure equipment readiness for deployment in alignment with project and customer requirements.
  • Administers and maintains comprehensive license tracking systems and warranties, ensuring accurate records, timely renewals, compliance with applicable regulations, and readiness for internal and external audits.
  • Performs essential duties in any emergencies such as hurricanes, storms, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.


Minimum Qualifications

Bachelor's degree and five (5) years of experience or a Master's degree and three (3) years of experience.



Departmental Requirements

Eligible for a Department of Defense Clearance.



Desired Qualifications
  • International Air Transport Association (IATA)/Export control experience or certification.
  • Military/government logistics experience.
