Pay Rate $60K-$65K Position Purpose The Site Administrator for Cranbury ensures smooth daily operations and an outstanding experience for customers, visitors, and employees at the East Park Cranbury Flavor Creation & Applications site. This role includes reception, visitor arrangements and hospitality, administrative functions, receiving and distributing shipments, while representing Givaudan's creative spirit and commitment to exceptional partnership. The Site Administrator continuously seeks to enhance visitors experience, site presentation, and internal efficiency through proactive initiative and collaboration. Impact The position directly affects customer satisfaction, site reputation, and employee engagement. By delivering a consistent, high-quality visitor experience and efficient site support, the coordinator helps present Givaudan as a trusted, innovative partner while maintaining an inspiring workplace for all staff. Key Responsibilities Customer Experience and Visit Coordination Plan and coordinate all aspects of customer and guest visits, serving as the primary site contact. Manage visitor request forms and collaborate with account managers to capture meeting requirements. Prepare meeting rooms, tasting areas, and customer experience spaces with food, decor, and technical setup. Arrange catering and hospitality orders aligned with Givaudan's presentation standards. Organize and lead site tours, coordinating content and personnel. Compile and maintain guest information packets (local hotels, restaurants, travel directions, contacts, WiFi instructions). Proactively research, investigate, and update local dining, hotel, and amenity options for guests; incorporate feedback and new trends to elevate the visitor experience. Maintain uptodate site informational resources, employee contact lists, and visitor materials for internal and external guests. Prepare guest gift bags and manage postvisit clean-up and reset. Continuously assess and implement improvements to hospitality and site presentation standards. Office and Administrative Support Maintain kitchen, break room, and customer area supplies (beverages, paper goods, cleaning materials). Support FC&A specific supply needs with support for ordering ingredients through stock transfers from other sites or external order. Ensure common spaces are organized, stocked, and welcoming. Create purchase orders, process invoices, and manage expense tracking in Chili SRM. Provide administrative assistance for travel and expense processes (Concur, Egencia, visitor WiFi connection) as needed. Employee Coordination Enter/ Maintain biweekly time for vacation & sick time in ADPfrom employee time spreadsheets. Support onboarding activities for new employees setup of distribution lists, travel and expense systems (Concur,Egencia), and access cards. Maintain site calendar and communications to the team about visits to the site. Site Operations and Facilities Collaboration Conduct routine site walkthroughs to ensure cleanliness, readiness, and presentation consistency. Partner with Facilities, IT, and Safety to resolve service needs promptly. Support initiatives that promote safety, sustainability, inclusion, and team engagement. Continuous Improvement and Innovation Collect visitor and employee feedback to identify and prioritize improvement opportunities. Proactively explore and improve local offerings to enhance guest experience-food service, lodging, communications, and local services. Maintain uptodate guides, contact lists, and informational materials for both employees and guests. Collaborate with site leadership to implement processes that enhance the quality, warmth, and efficiency of customer interactions Skills, Experience, and Education Education / Experience High School graduate 3 years in office coordination, hospitality, or administrative support roles preferred. Experience in a creative or technical environment is a plus. Functional Skills Strong organizational skills and attention to detail. Excellent interpersonal communication and customer service mindset. Proactive and resourceful approach to problemsolving. Proficiency in Microsoft Office 365 and experience with Chili (SRM), ADP, Concur, and Egencia preferred.
