We are seeking a highly organized and relationship-driven Clinical Learning Operations Specialist to coordinate clinical student onboarding, compliance, scheduling, and operational support across a variety of learner programs. This role plays a key part in creating a seamless and positive experience for students, academic partners, physicians, and internal teams.

This role requires a proactive and adaptable individual who is comfortable managing complex workflows, building relationships across teams, and helping improve evolving processes.

What You'll Do

Student Onboarding & Program Coordination

  • Coordinate onboarding and operational support for clinical student shadows, rotations, elective experiences, and residency-related learning programs.
  • Manage application workflows, scheduling, onboarding timelines, credentialing, and compliance tracking across multiple systems and platforms.
  • Coordinate student placements in partnership with program leadership, physicians, residents, and clinical teams.
  • Facilitate orientation logistics, first-day onboarding activities, and ongoing learner support throughout the rotation experience.
  • Coordinate onboarding-related requests including system access, badge access, and learner readiness needs.
  • Support student evaluations and assessment documentation to meet academic program requirements.
  • Serve as a primary point of contact for students, academic institutions, physicians, residents, and internal stakeholders regarding onboarding processes, scheduling, and learner experience.

Academic Partnership & Compliance Support

  • Coordinate and maintain affiliation agreements with academic institutions across Mary Free Bed student programs.
  • Track agreement renewals, compliance requirements, and supporting documentation to ensure uninterrupted student placement opportunities.
  • Partner with schools, internal departments, and compliance stakeholders to support successful learner placements and strong educational partnerships.

Process Improvement & Operational Support

  • Assist with implementation and ongoing maintenance of onboarding systems and workflows, including ACEMAPP.
  • Identify opportunities to improve processes, organization, communication, and learner experience.
  • Support accreditation and education-related documentation requirements as needed.
  • Coordinate logistics for select educational programming and learner presentations.

Preferred Qualifications

  • Bachelor's degree in Healthcare Administration, Human Resources, Education, Business, Communications, or related field preferred.
  • Experience working in healthcare, higher education, or regulated environments preferred.
  • Experience in onboarding, healthcare operations, medical education, academic coordination, scheduling, compliance, or program coordination preferred.
  • Experience working across multiple systems and platforms in a fast-paced environment preferred.

Compensation

$59,600 - $71,600 annually; Full time
