Position Title: Personnel Security & Contractor Operations Specialist Location: Hybrid 2x a week (Arlington, VA) Other Considerations: U.S. Citizen or Permanent Resident (Required) POSITION SUMMARY We are seeking a Personnel Security & Contractor Operations Specialist to join our team. In this role you will be managing onboarding workflows, coordinating security processes, handling sensitive information with discretion, and maintaining strong relationships with internal stakeholders and federal government representatives. This is an excellent opportunity for someone who is passionate about people operations and organizational coordination. RESPONSIBILITIES Contractor Onboarding & Personnel Administration
- Coordinate end-to-end onboarding activities for contractors supporting federal programs and initiatives
- Review incoming resumes and personnel documentation against contract labor category requirements and customer expectations
- Facilitate onboarding approvals and maintain communication with hiring managers, program leadership, and federal government representatives
- Prepare and distribute onboarding communications, welcome materials, and required documentation
- Track onboarding milestones to ensure contractors obtain required access, credentials, equipment, and training prior to start dates
- Maintain accurate personnel records and contractor profiles across internal systems and government platforms
- Coordinate provisioning and deprovisioning activities, including account access and equipment tracking
- Execute offboarding procedures for departing personnel, including system access removal, records updates, and asset recovery
Personnel Security & Compliance
- Support administration of personnel security processes, including clearance submissions, reinvestigations, visit requests, and onboarding documentation
- Assist with Defense Information System for Security (DISS), National Background Investigation Services (NBIS), National Industrial Security System (NISS), and related government security systems, as applicable
- Coordinate security-related documentation and ensure completeness, accuracy, and compliance with customer requirements
- Maintain awareness of National Industrial Security Program Operating Manual (NISPOM) and federal security compliance standards, and Defense Counterintelligence and Security Agency (DCSA), as applicable
- Support preparation for security inspections, self-assessments, audits, and customer reviews
- Assist with incident reporting, documentation tracking, and corrective action follow-up as needed
- Maintain secure handling, storage, and organization of sensitive information, including Personally Identifiable Information (PII) and Controlled Unclassified Information (CUI)
Training, Communication & Operational Support
- Track annual training, compliance requirements, Non-Disclosure Agreements (NDAs), and policy acknowledgements for contractor personnel
- Coordinate and monitor completion of required security and compliance training
- Draft and distribute internal communications related to onboarding, timesheets, training deadlines, and operational updates
- Support preparation of reports, presentations, monthly deliverables, and status updates for leadership and customer stakeholders
- Maintain organized SharePoint repositories and documentation libraries to support operational readiness and audit compliance
- Partner cross-functionally with recruiting, operations, program leadership, and security stakeholders to support business operations
QUALIFICATIONS Required Qualifications
- Bachelor's degree or equivalent professional experience
- 3-5 years of experience supporting federal contracting operations, personnel security, contractor onboarding, HR operations, or compliance administration
- Familiarity with federal contractor onboarding processes and federal government security requirements
- Working knowledge of personnel security processes, including clearance coordination and access management
- Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and Teams
- Experience handling sensitive or confidential information with professionalism and discretion
- Strong organizational skills with the ability to manage multiple deadlines and competing priorities
- Excellent written and verbal communication skills
- Strong attention to detail and ability to maintain accurate documentation
- Experience using collaboration and tracking tools such as SharePoint, Airtable, Adobe Acrobat, or related platforms
- Ability to work independently while collaborating effectively across teams
Preferred Qualifications
- Background working with the Department of Veterans Affairs and/or other government agencies
- Experience supporting a DCSA-cleared contractor environment
- Familiarity with NISPOM requirements and security compliance standards
- Experience with DISS, NBIS, NISS, or related government systems
- Prior experience supporting onboarding and offboarding within federal government contracts
- Knowledge of security awareness training administration and compliance tracking
- Active or previously held Public Trust or security clearance preferred
