Business Operations Department

The North America Business Operations team partners with Site Operations, Reliability Engineering, Physical Security, Legal, Finance, Real Estate, Construction and other internal stakeholders to support operational consistency, compliance and scalable execution across the Vantage portfolio.

Business Operations supports several key functions, including Service Support, Vendor Relations, Standards & Transformation, Utility Billing, Asset and Service Operations, Documentation Governance and Property and Lease Management. The team helps improve visibility, coordination, tracking, documentation and execution of operational obligations across the business.

Position Overview

The Operations Property & Lease Compliance Coordinator, NA supports the tracking, organization, and follow-up of lease and property compliance obligations across Vantage's North America portfolio.This role is responsible for reviewing assigned lease, property, permit, license, and development agreement information; filtering relevant obligations; entering and maintaining data in trackers; monitoring upcoming due dates; and supporting follow-up with internal stakeholders.

The successful candidate will be highly organized, detail-oriented, and comfortable working with manual trackers, spreadsheets, SharePoint folders, email follow-ups, and structured checklists. This role does not own lease interpretation or compliance decisions but supports the process by ensuring information is captured accurately, deadlines are visible, and gaps are escalated to the appropriate team members.

This role will be based in: Denver, CO and is in alignment with our flexible work policy. (3 days on site required, 2 days flexible)

Essential Job Functions

Lease & Property Obligation Tracking

  • Review leases, amendments, permits, licenses, development agreements, and related documents to identify key dates, obligations, and deliverables.

  • Maintain accurate tracking systems for lease expirations, renewals, options, permits, licenses, insurance requirements, compliance deadlines, and development milestones.

  • Update obligation status, ownership, due dates, supporting documentation, and records across approved systems.

  • Monitor critical dates, maintain reminder/tickler systems, and escalate missing, conflicting, overdue, or unclear information.

Intake, Coordination & Stakeholder Support

  • Review and categorize incoming requests, documents, and communications related to lease and property obligations.

  • Route items to appropriate stakeholders, ensure required information is complete, and maintain organized intake records.

  • Coordinate follow-up with internal teams and external partners regarding open actions, deadlines, compliance requirements, and documentation.

  • Track responses, document follow-up activities, support meetings, and escalate issues requiring management, legal, or leadership review.

Property Management & Compliance Support

  • Track business licenses, permits, renewals, development agreement obligations, and related compliance requirements.

  • Maintain records of responsible parties, submission and approval dates, renewal schedules, and completion status.

  • Support audit readiness, compliance reviews, and documentation management by ensuring records are complete, organized, and current.

Reporting & Documentation

  • Prepare status reports, action logs, overdue item reports, dashboards, and deadline tracking summaries.

  • Maintain templates, trackers, procedures, and standard work documentation.

  • Support data quality initiatives, documentation governance, and process improvement efforts.

Job Requirements

Education

  • Associate or Bachelor's degree in Business Administration, Real Estate, Legal Studies, Operations Management, Facilities Management, Finance, or a related field preferred.

  • Equivalent education and relevant experience may be considered.

  • Relevant certifications or coursework in real estate administration, paralegal studies, compliance, project coordination, records management, or property management are a plus.

Experience

  • 1-3 years of experience in lease administration, property coordination, compliance tracking, legal administration, document control, operations support, or related fields.

  • Experience managing trackers, spreadsheets, compliance records, and document repositories preferred.

  • Exposure to leases, contracts, permits, licenses, real estate documents, or development agreements is beneficial.

  • Experience coordinating across multiple stakeholders and departments preferred.

Skills & Competencies

  • Strong attention to detail, organization, and data accuracy.

  • Ability to manage multiple deadlines, documents, and follow-up activities.

  • Proficiency with Microsoft Office (Excel, Outlook, Word, Teams, SharePoint); experience with Smartsheet, Power BI, ServiceNow, lease or contract management systems is a plus.

  • Strong communication, documentation, and stakeholder coordination skills.

  • Ability to identify issues, follow established processes, maintain confidentiality, and escalate risks appropriately.

  • Comfortable working in a fast-paced, evolving environment.

Additional Details

  • Salary Range: $95,000 - $110,000 Base + Bonus (this range is based on Colorado market data and may vary in other locations)

  • This position is eligible for company benefits including but not limited to medical, dental, and vision coverage, life and AD&D, short and long-term disability coverage, paid time off, employee assistance, participation in a 401k program that includes company match, and many other additional voluntary benefits.

  • Compensation for the role will depend on a number of factors, including your qualifications, skills, competencies, and experience and may fall outside of the range shown.
