THE POSITION

The PA State Police is looking for a Clerical Assistant 2 to provide key administrative support at the Everett Station. This position offers the opportunity to assist with reports, scheduling, supplies, and customer inquiries. Your reliability and organization will make a real difference each day. DESCRIPTION OF WORK

This position provides clerical support that ensures the Everett Station operates efficiently and effectively. The work supports reporting, scheduling, document management, and communication across the station. As a Clerical Assistant 2, you will perform the following duties:

  • Report Preparation: Prepare and type correspondence and reports, transcribe audio recordings, and proofread documents for accuracy
  • Record Review: Examine reports, compare data across systems, and enter information into the Initial Crime Index and related databases
  • File Maintenance: Organize, update, and purge files while maintaining reference materials and distributing documents as required
  • Scheduling Support: Input approved work schedules, coordinate court hearing notifications, and create daily and weekly duty rosters
  • Supply Management: Order supplies, process Purchasing Card payments, maintain account files, and route invoices as needed
  • Customer Assistance: Respond to requests for information, handle mail processing, operate office equipment, and support station personnel

Work Schedule and Additional Information:
  • Full-time employment, 37.5 hours per week.
  • Work hours are 8:00am to 4:00pm, Monday-Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,108 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.

Additional Requirements:
  • Three (3) years or more of experience using Microsoft Word.
  • Three (3) years or more of experience using Microsoft Excel.
  • Two (2) years or more of experience answering and assisting with incoming telephone calls.
  • Two (2) years or more of experience utilizing various office equipment such as a personal computer, copying machine, facsimile machine, and postage meter.
  • Two (2) years or more of experience working in a position that required processing invoices, payments, and managing financial accounts.
  • One (1) year or more of experience working in a position that requires maintaining a filing system.
  • You must be able to perform essential job functions.
