POSITION TITLE: Philanthropy Administrative Coordinator

POSITION SUMMARY:

Reporting to the Sr. Manager of Development Administration, the Administrative Coordinator will play a key role in supporting a dynamic team of frontline fundraisers at Scripps Research. This position is responsible for managing both daily and long-term administrative projects, ensuring seamless coordination across the team. The Administrative Coordinator will provide comprehensive project management support, execute a variety of administrative functions, and deliver high-quality, time-sensitive work with accuracy and attention to detail.

RESPONSIBILITIES AND DUTIES:



  • Serve as a project manager, perform data entry and key updates in development database, enter contact reports and proposals, update/monitor next steps and strategy.
  • Manage calendars and schedule internal and external meetings. Coordinate meeting logistics and resolve complex problems as they arise. Book travel, create itineraries, prepare materials and professionally communicate with key stakeholders.
  • Prepare correspondence (confidential and non-confidential), briefings, presentation materials, agendas, reports, event materials and other documents and communications for internal and external audiences.
  • Manage budget and expenditures. Process reimbursements and code expenses for development team in accordance with travel and expenditure policy.
  • Serve as a liaison between key teams within philanthropy to request and provide relevant information for briefings and meetings. (Events, Donor Relations, Prospect Management & Research, Data & Analytics, Gifts & Records.)
  • Details of established essential functions for this position will be addressed/discussed during the interview process.



          REQUIREMENTS:



          • Bachelor's Degree or equivalent experience preferred.
          • Minimum five years' experience with administrative support, preferably in a fundraising setting.
          • Exemplary attention to detail and process.
          • Demonstrated experience should include - management of highly sensitive information, management of overlapping priorities, independent project work, and facilitation of communication between numerous parties both internal and external.
          • Excellent communication skills (both written and oral) evidenced by background in preparing comprehensive reports and executive summaries incorporating complex, highly technical information.
          • Highly developed organizational and leadership skills.
          • Demonstrated computer competency and preferably knowledge of Microsoft Office professional systems and other development systems.
          • Project management skills involving complex variables and project deadlines.
          • While subject to change based on business needs, this is an on-campus position requiring a minimum of 4 days per week working onsite from our La Jolla campus, with flexibility to work 1 day per week remotely from home.



            COMPENSATION:

            The expected hiring range for this position is $26.00 to $30.25/hourly, commensurate with experience. Consideration will be given to experience that exceeds the listed requirements.
